Should You Offer Unlimited Vacation Time?

Whether you call them your golden hours or peak work times, or biological prime times, these are when we have the most concentration and energy. As such, we shouldn’t waste these hours. Instead, we should spend them on our most important and challenging tasks. But, before we get there, we first need to identify when you’re actually the most productive.

The most productive hour, day, week, and month of the year.

You likely already know when your most productive time is. For example, I’m a morning person, and wake-up at 5:15 am every day. Because of this, I’m more alert in the A.M. But, I also have also worked with people who are night owls, and forcing themselves to wake-up as early as I do would be counterproductive.

However, after analyzing 1.8 million projects and 28 million tasks gathered from Priceonomics customer Redbooth, says that the most productive time of year is at 11 am on a Monday in October.

That timeframe is extremely specific, but they also found “that most people don’t really get going until 7 am (a typical start time). The study shows that after 5 pm (typical finish time), work quickly tapers.”

However, the “percentage of tasks completed (9.7%) peaks at 11 am — just before the typical person takes lunch.” The data has shown that productivity takes a hit between 11 am and 1 pm, “and after 1 pm, productivity never quite returns to its peak.”

“The highest percentage of tasks (20.4%) are completed on everyone’s favorite day of the week: Monday,” Priceonomics reveals. “Tuesday (20.2%) is just behind — and after that task completion perfectly tapers off as the days progress toward the weekend.” Fridays are “nearly 20% less productive than Monday.”

“We complete far more tasks in the latter months — September (8.8 percent), October (9.5 percent), and November (9 percent) — than in the earlier months,” notes the post. “We only complete 7.2 percent of our yearly tasks in January,” The reason?

Priceconmics suspects that it “maybe because the early year is typically for setting goals, not completing them — and as we near year’s end, we’re struggling to get everything done.” You have to learn how to work smarter — not harder.

How to find your most productive hours.

Hopefully, the data from Priceconomics can be of use. For example, instead of scheduling a meeting on Monday mornings, you do that on Friday afternoons when most of us aren’t as productive.

But what if you want to find out when you’re most productive? Well, here is a simple process that can help you figure this out.

Choose a time tracking period.

The first step you need to take is to determine when you want to start tracking your time and for how long. Some suggest that you can get away with just tracking your time for a week. But I disagree. The longer you follow your time, the more accurate of a picture you’ll have. Ideally, you should do this for 30 days.

Get the right tools.

You can honestly stay old school and use a pen and paper for this activity. You could also use a notebook or index cards. Other options would be creating a spreadsheet (or this one from Chris Baily) or premade worksheets like the 168 Hours Timesheet.

If you prefer to go digital, you may want to try out time tracking tools. Some of the best available are RescueTime, Clockify, Toggl, or ATracker — and of course, Calendar.

Maintaining your time log.

Here’s the moment you’ve been waiting for, actually tracking your time.

Jeremy Anderberg writes that there are two necessary frameworks for tracking your time. The first tracking is using the time of day. If you go this route, “you’ll write down your activity for a set chunk of time, say 9–9:15 am. Set a timer for every 15 minutes (at first, at least; it can be longer as you’ve gotten into it), and take a quick second to jot down what you’ve been doing.”

The second is by the task. “With this method, you’ll go about your day and activities as normal, and simply write down what time you change tasks and start something new,” explains Anderberg.

Jeremey suggests that you try both out and see what works best for you. “For my first few days of time-tracking, I did so by the task. I’d write down, to the minute, when I started and stopped doing something and moved on to a new activity.” For him, this helped “figure out how long things actually took, and how my day was naturally being structured

“After that, I went into tracking by time increments, which is more useful for planning purposes, understanding what times of day you’re more likely to waste time, how to structure your breaks, etc.,” he adds. “Another benefit is that when you have a timer to “remind you to write down what you’ve been doing, it re-focuses you if you’ve gotten off track.”

Regardless of which approach you take, there are some essential things to keep in mind:

  • Be honest and consistent.
  • Record your activities in real-time.
  • Note when you start and end an activity, as well as the duration.
  • Be meticulous and include as many details as possible. For instance, instead of just writing done “working,” record the specific thing that you were doing. But, you don’t have to be perfect.
  • Don’t just focus on your workday. Create categories and subcategories for home, family, social, commuting, and health and wellness.
  • Make sure that you write down how you feel for each activity.
  • Leave room for additional notes like what interrupted you or if a task took you longer then expected to complete.

Chris Bailey, the author of “The Productivity Project,” also suggests that you eliminate factors that may affect your productivity, such as caffeine, diet, waking up without an alarm, or staying up too late. He also recommends keeping a log of your energy levels every hour.

After you’ve done this for around month, go ahead, and analyze your data. Pay close attention to patterns — primarily when there’s a surge or dip in focus or energy. For most of us, because of ultradian rhythms, this would be after working for 90 to 120 minutes.

You should also be on the lookout for how much time you’re dedicating to low, medium, or high impact activities and where you can improve. Think about using time tracking — don’t think of it as time policing.

How to create more “peak” hours during the day.

That may seem like a lot to take in. But, after a week or two, tracking your time should become a habit. But, the main takeaway here is that you also listen to your gut. As I’ve said, you probably have a clue when you’re most productive without having to track your time. But, it’s still worth doing to see what exactly you’re doing and spending your time.

Knowing this, you can then use your “peak” hours more wisely. For me, I’m ready to tackle the day before 8 am. So, I block out from 8 am to 10 am for the most critical task of the day in my calendar. I then take a 30-minute break and get back to work until noon.

Since my energy may start dropping by then — my afternoons are spent on lower energy tasks like meetings. Then I have a snack later in the afternoon, take a break, get revived, and get going again for several hours.

I’ve also been able to create more “peak” hours in the day by taking care of my health — mainly getting enough REM sleep, eating a nutritious diet, and finding ways to relieve stress like meditating and exercising. The reason? All of these can impact your productivity.

Additionally, I also remove the unnecessary items from my calendar. The easiest way to do this is through delegation or dropping them entirely. It’s an effective way to ensure that you aren’t wasting your golden hours on things that aren’t important.

How to Maintain Your Mental Health When Working Remotely

Even before COVID-19 put remote work in the spotlight, numerous studies highlighted its benefits. For years, flexible work arrangements have been able to improve the morale and health of employees. As a consequence, they’re more productive. What’s more, for businesses, remote work can attract and retain talent and reduce the cost associated with real estate and utilities.

At the same time, working remotely also comes with a cost. “For some people, the feedback and encouragement loop of the work environment is critical to their jobs,” explains clinical psychologist Ryan Hooper. Furthermore, if working from home, it can also be more challenging to set boundaries.

“It can be beneficial to get some household chores done in the middle of the workday, like switching laundry or picking up a child from school,” said Cara Maksimow, a licensed clinical social worker and therapist. However, “the lines between work and home can blur and make it hard to ‘turn it off.’” And, if you’re putting in more hours, then that may bleed into family time or even affect your sleep schedule.

Take breaks strategically.

“There is a tendency to work throughout the day to overcome some stigma that you aren’t working when not in the office,” says David Rabin, vice president of global commercial marketing at Lenovo. While you may assume that that will help you overcome your guilt, the truth is that doing so will only burn you out.

In fact, according to author and productivity expert, Julie Morgenstern, “Stepping away for breaks are part of productivity; they make you smarter and give you perspective and answers.”

When just starting, this may seem impossible. But, it’s possible if you try out some basic, but effective, time management techniques like:

  • Tracking your time in 15-30 minute increments. The reason? It will help you “get a realistic picture of how efficient you can work.”
  • Plan a realistic schedule in advance. That means not overbooking yourself and only scheduling what you can realistically get done in a day.
  • Plan around your energy levels. Schedule your most important or challenging tasks when you have the most energy and focus. Plan to take breaks when your energy drops.
  • Avoid pointless meetings. Never accept unnecessary meetings. Or, consider alternatives like phone conferences.
  • Create gaps in your calendar. Instead of working nonstop from sun up to down, leave blanks in your calendar to address emergencies or take a break.

Upgrade your office.

Unless you don’t have the extra space, you need to work in a dedicated work area. Ideally, that would be somewhere that’s quiet and inspiring. Or, in other words, somewhere other than your couch, kitchen table, or bedroom.

“Don’t equate “remote worker” with ‘hermit,” writes Beth Braccio Hering. “Connecting with others eases loneliness that sometimes comes with remote work, lifts spirits, and generates a sense of belonging.”

“Look for regular ways to get a ‘people fix,’ perhaps by volunteering, taking a class, spending some days at a coworking space, or setting a weekly lunch date with friends,” she adds. “Likewise, keep in touch with others from your company through emails, video chats, and social platforms as a reminder that you’re part of something larger than your own home office.”

Another option? Foster or adopt a dog — if you don’t already have one. Dogs have been found to improve your mood, lower your stress, encourage you to be healthy, and make you feel loved. Oh yeah. Your four-legged friend also gives you some much-needed companionship.

Get moving.

As I’m sure you’re well aware, physical activity releases endorphins and other feel-good chemicals. But how much should you exercise?

Well, the U.S. Department of Health and Human Services states that those who exercise for 30 to 60 three to five days a week should suffice. Don’t have the time to squeeze in a workout? Even going for a short walk can improve your mood.

Take an “unsick” day.

Piloted by the folks over at Buffer, an “unsick” day is where you simply take a day off from work to take care of preventive appointments. These include visiting the dentist, taking a vision exam, and your annual physical. However, sometimes you may just need to take the occasional day off from work.

Keep stress at bay.

“Research tells us that stress overload not only intensifies symptoms of mental illness but can trigger relapses in individuals who are symptom-free,” says Deborah Serani, PsyD, a clinical psychologist and author of Living with Depression: Why Biology and Biography Matter along the Path to Hope and Healing.

The easiest way to achieve this is by taking care of yourself, like reducing stress-inducing events, not neglecting your health, and finding ways to decompress. “I generally take breaks out of the house — like a short walk, eating lunch on the patio, or just resting in a pool of sunshine on the sofa in my office,” says Serani.

Think about planning your next vacation when we are out of the COVID mess.

Wear your “happy” clothes.

Sure. You could stay in your pajamas all day. But, that’s not going to help your productivity. And, more importantly, it’s not going to put you in a good mood.

“For those who are new to working from home, there is certainly an art to being able to remain focussed and productive in a space which is inextricably linked with comfort and relaxation,” explains Charlotte Armitage, a media and business psychologist at YAFTA. “The key to ensuring a level of productivity in the home is to create a routine and structure that you force yourself to stick to.”

“One of the easiest and simplest parts of a routine to implement is ensuring that you change out of your PJs and into different clothes for working in,” she says. “When the routine of getting changed into new clothes for working at home is practiced enough, psychologically, you become conditioned to associate the changing of clothes with a change of mindset, psychological pace and focus, therefore preparing you for the working day ahead.”

Moreover, getting dressed is an easy way to improve your mental health.

“Routine is important for maintaining our mental health, and getting dressed is an important part of that routine,” she says.

“The idea of staying in PJs all day has some negative connotations associated with it, and therefore if we behave that way, we can start to feel lazy and demotivated which in turn leads to a lack of productivity and low activity levels, and consequently starts to create a negative vicious cycle.”

And, if you want to go a step further, dress yourself — happy — by looking into dopamine dressing.

Set parameters.

“Separating your work and home life is almost certainly the biggest challenge of working from home,” writes my Calendar co-founder John Hall. “It’s all too easy to go back to work after dinner or start working the second you wake up.”

“An unstable schedule or unplanned calendar happens more often with freelancers or people who make their own schedules,” adds Hall.

“While dedication is important, overworking will cause you to burnout,” he states. “Know the signs, and give yourself frequent breaks. Listen to friends and family if they suggest you’re working too much.”

Remember, working from home is a privilege. “Take it seriously, and you’ll take your productivity to new heights.”

5 Scheduling Issues Your Clients Aren’t Telling You About

Scheduling software is more popular than ever. But just because you know how to use it doesn’t mean all of your clients do. 

The truth is, your clients don’t want to bother you. They may not know whether you can solve their issue, so they just accept things the way they are.

But even if your clients aren’t speaking up about scheduling issues, they are judging your business by them. Scheduling software is supposed to make you more efficient. If you aren’t addressing problems with similar efficiency, your clients will become skeptical. 

Invite clients to talk through their scheduling issues. In the meantime, take a look at the following problems to get a sense of what you may be dealing with:

1. They’re not getting reminders.

Has a client ever had to call to confirm a meeting or appointment? Do you find that happening often? If so, your scheduling system may not be sending them reminders like it should. 

Reminders give clients confirmation that their appointment will be upheld. They should not have to worry about arriving at your company and not being able to meet with the person they booked. 

Be sure to set your scheduling software to automate reminders so that you don’t have to send them manually. Adjust the number of reminders based on how far away the appointment is. Make sure one is sent when the appointment is made and another 24 hours in advance. 

Another tip is to make sure that your reminders are worthy of a response by including a question about whether they’re able to make it or personalizing the notification. When clients respond, they’ll either signal they’re still planning to make the appointment or ask to reschedule. 

2. They’re struggling with time zones.

If you are on the East Coast but want to schedule an appointment with someone on the West Coast, you have to account for the time change. And sometimes it can be difficult to know if they’re talking about your 9 a.m. or their 9 a.m. This can lead to awkward moments and missed meetings.

If your scheduling software doesn’t automatically adjust for different time zones, it’s time to invest in one that does. Not only will this benefit clients, but it will also benefit remote team members. Encourage everyone to be considerate of normal business hours.

3. They can’t get the slots they want.

When it comes to scheduling, we can’t always get what we want. It can often feel like the perfect time for us just so happens to be the perfect time for someone else.

Every company has peak hours, but it’s important to cater to your clients’ schedules. If you can’t afford to hire additional team members, try restructuring how people’s availability is displayed. Make availability based on time rather than a particular person: This way, the task and time chosen will simply be directed to the next available person. 

Another way to mitigate this issue is to use a waitlist in your scheduling app. In case someone cannot make their appointment or needs to change it, the next person on the waitlist will get a notification right away. 

4. The details are wrong.

When a client schedules an appointment, they need to know more than when it is. Make sure that your system is updated with the other details they need. Check, too, that they’re recapped correctly in the system’s email reminders.

If your office has recently moved, did you remember to update the address in your scheduling system? Is your cancellation policy current? If they can’t make an appointment, what number should they call?

5. They don’t know how to use the system.

Chances are, you still have clients that make their appointments by phone or in person. Even though they know about your online scheduling option, they may not know how to use it.

The trouble is, this can throw off the efficiency of your scheduling system by decentralizing it. To get things back to where they need to be, put together tutorials on how to use your scheduling software. During their next visit, ask if they would like you to walk them through it. 

Remember, you’re not just selling a service or product; you’re also selling an experience. Show them how seamless online scheduling can be. The faster they can get in and get out, the happier they’re going to be.

While you can do this by not always looking over your team’s shoulders, you can also use data to empower your team. But, first, let’s go over the benefits that your organization will experience after they have data at their fingertips.

The main benefit is that your team will have fast and easy access to information that can help them become more effective and efficient. For example, if your team uses a tool like Calendar. In conjunction with training, you also need to arm them with the right tools. An example of this would be giving your sales the latest AI-powered sales app so that they have real-time insights about leads and customers on their phones.

Encourage communication and collaboration.

How can you empower your team if you’re keeping the data to yourself? That’s just counterproductive and poor use of data. Instead, share this information with everyone within your organization so that they’re up-to-date and on the same page.

Your dashboard will allow your team “to dive into the underlying data in the lightning-fast grid that sits behind the dashboard.” What about you, non-technical people? Well, they can “quickly build an interactive, customized dashboard, so your team can collaborate, revise, and print on the spot without help from IT.”

Use visuals and gamification as well.

Another way to accomplish this is by providing visuals. As Calendar founder John Rampton explained in a previous article, data visualization is the key to team productivity since visual learning is more efficient. It also helps you focus on what’s most important, advances AI and machine learning, and enhances communication and collaboration.

Just remember that to get the most out of data visualization, you should:

  • Understand the data you’re trying to visualize, such as the size and uniqueness.
  • Determine the data you want to visualize and what needs to be communicated.
  • Know your audience and their learning preferences.
  • Use visuals that present the information as briefly and simply as possible.
  • Use the right visual for the right situation. For instance, Gantt charts are ideal for updating the status of a project. On the flipside, Fishbone diagrams are better suited for finding defects in a process.

And, the Phocas team also suggests that you gamify your data. “By providing your team with an immersive and gamified experience, using data becomes engaging. If your team can manipulate data quickly and easily, they are driven to improve their performance through feedback.”

“By introducing gamification, you can present a fun and competitive way for your team to detect every opportunity to increase revenue and overall productivity.” And, ultimately, this can cultivate collaboration and motivate individual team members.

Integrate analytics into every aspect of your business.

At first, this may be intimidating. But. as Roman Stanek, the Founder and CEO of GoodData writes in Forbes, “companies who have recognized value from analytics have gone beyond their competitors to become empowered analytical organizations.” What that means is that they have “successfully integrated analytics into every part of their business to drive everyday business decisions and deliver substantial returns.”

The four attributes needed to assimilate data into your business.

  • Solve for business problems. “The first step to using data to drive decisions is to look at a business process that requires more clarity or one that has an easy-to-define workflow or apparent objectives for improvement,” writes Stanek. “Preferably, it’s an area that can easily measure improvements in tangible, metric-driven ways.”
  • Recognize that it’s an ongoing process. To deliver tangible results, you need to make a serious time and financial commitment “on the strategy, talent, and business plan.”
  • Embed analytics into all areas of the business. “Analytics has value for every layer of the organization, not just the c-suite or data scientists,” adds Stanek. Because of this, “the only way to get closer to the return on investment you’re looking for is to deploy analytics to as many people as possible to improve everyone’s decision making” and showing your team how data can help them solve problems.
  • Make sure executives do their part. “For a company to successfully transition to an empowered analytical organization, leadership will need consensus around the analytics project, and to truly understand why the IT budget will need to shift to support the kind of transformation expected,” explains Stanek. “They’ll also need to routinely participate in identifying key business processes that are ripe for improvement and encourage continuous learning and additional investment.”

How to Keep Track of Time in Quarantine

Do you sometimes feel like your Phil Connors in “Groundhog Day?” Right now, during quarantine, I certainly do. You know. You are seemingly living the same day over and over again.

Whether if you’re in a rut or working from home, it can certainly feel as if every day is the same. As a result, it’s pretty easy to lose track of time. But why exactly is this the case? And, how can you snap out of it?

Our experience with time is malleable.

“Perception of time has this ebb and flow,” psychologist J. Devin McAuley, the director of the Timing, Attention, and Perception (TAP) Lab at Michigan State University, told The Cut. “Objective time stays the same, but people’s perception changes based on several different factors,” such as memory and external cues.

According to researchers, there are various mechanisms used to explain how a person perceives time. “One idea is that essentially you have some kind of internal clock that is your internal sense of time, which is clicking along at some rate based on physiology,” McAuley adds. Think back to your daily commute or running errands. You probably stop at the same light so much that you have an idea of how long it takes from it to go from red to green.

But what if your overslept and are rushing to work? Because your internal clock is ticking faster, the light appears to last longer.

The influence of timing mechanisms.

Besides that, some other external factors can throw off your perception of time. Caffeine, stress, exercise, boredom, and even your age are some common examples of these external cues. Or, to put it another way, time flies when you’re having fun and plods along when you’re bored.

Case in point, a study published in Psychophysiology analyzed 42 participants before, during, and after experiencing a version of the Trier Social Stress Test. The results showed that social stress could fluctuate time perception.

In addition to stress, mental representations can also play a role. A study led by psychologist David Ellis from the University of Lincoln in the UK shows that people tend to forget what day of the week it is because of our feelings associated with them.

Days of the week matter too.

“Midweek days are confusable because their mental representations are sparse and similar,” explains the team’s final report in PLoS ONE. “Mondays and Fridays are less confusable because their mental representations are rich and distinctive, forming two extremes along a continuum of change.” For example, terms like ‘boring,’ ‘hectic’ and ‘tired’ were associated with Mondays, while Fridays were linked to more positive words like ‘party,’ ‘freedom’ and ‘release.’

“Indeed, more than a third of participants reported that the current day felt like a different day, and most of those feelings were on Tuesdays, Wednesdays, and Thursdays, reflecting the midweek dip in associations attached to different days,” added Ellis.

“Our research implies that time cycles can shape cognition even when they are socially constructed. The Bank Holiday effect implies that apparent weekday is not determined solely by the seven days of the weekly cycle: transitions between the working week and weekend also play a role.”

In other words, if you’re returning from a long weekend or vacation, “your body’s complex system of time processing — and your subjective impression of the length of the workweek — may be thrown out of whack,” writes Stephanie Bucklin.

Routines have been broken.

Routines tend to change. That’s just a part of life. Think about chaotic things are in your home when your kids go back to school, or you’ve had to change shifts at work. Or, like most of us, you’re working from home because of COVID-19.

But, how does this influence how we can keep track of time?

“You naturally did something different on work-out days, for example, like you packed a gym bag, or waked up earlier, which made those days distinctive,” Zainab Delawalla, a clinical psychologist, told HuffPost. “You knew it was Thursday, not only by looking at your calendar, but because on Thursdays, you set your alarm for 7 am instead of 7:30 am, or you picked up bagels for the team on your way into work.”

“Without these distinctions, all the days ‘feel’ the same, and it’s hard to keep track,” she added. Even worse, when routines have been broken, this can negatively impact your productivity, health, and well-being.

Interference in Our Sleep Schedules.

What does sleep have to do with telling time? It’s essential to keep your habits changing for the better. Well, it’s all about circadian rhythms and our internal master clock.

According to the National Institute of General Medical Sciences, “A master clock in the brain coordinates all the biological clocks in a living thing, keeping the clocks in sync. Invertebrate animals, including humans, the master clock is a group of about 20,000 nerve cells (neurons) that form a structure called the suprachiasmatic nucleus, or SCN. The SCN is located in a part of the brain called the hypothalamus and receives direct input from the eyes.”

It’s your master clock that controls your circadian rhythms. So, interferences like daylight savings time and traveling to a different time zone can mess with this natural rhythm that regulates your biological — which we aren’t doing too much of these days.

And, COVID-19 is also disrupting our internal biological clocks. How so? Between new sleep schedules, insomnia, and increased exposure to blue light from the devices that we’re attached to. “And with much of our time spent indoors, we are limiting our exposure to natural light, which is an important external factor in resetting our circadian rhythms,” Delawalla said.

No separation between work and play.

“If you worked Monday through Friday at a certain location, then the weekends marked a change, “said psychologist Rebecca Leslie of Living Fully Psychological Services. “If you are now working from home and have nothing different that happens on the weekend, there is nothing to signify a change in days.”

The same is true if you’re working more then usual. Examples could be putting in 7-day workweeks when launching a product or currently working from home while self-isolating. As a result, the timing of days can get confusing because there isn’t an end to either the workday or week.

Your “anchoring” is off.

“Essentially, your weekly mental calendar is anchored by Saturday and Sunday,” explains Richard A. Block, a professor emeritus of psychology at Montana State University who studies the psychology of time. Because Tuesday, Wednesday, and Thursday are smack-dab in the middle of your routine, they will usually blend together.

But, what happens when you lose sight of these anchoring cues? Obviously, it’s going to make it more challenging to keep track of the days of the week.

To back this claim up, Block mentions a study published in Memory and Cognition back in 1974. Researchers asked students on a college campus, “What day is today?” Asher Koriat and Baruch Fischhoff, the authors of the study, found that when people were further away from the weekend, they had difficulty remembering the day of the week.

To make matters worse, these anchoring cures could get thrown off even more. For example, a long weekend throws or having your trash/recycle day pushed back a day due to a holiday can cause some slight confusion.

“Days of the week is another set of temporal markers that don’t really have inherent meaning on their own,” says Anne Wilson, a professor at the Wilfrid Laurier University in Waterloo, Ontario, and director of the Identity, Motivation, and Perception Extended in Time and Society (IMPETuS) lab. “We often recall the correct day of the week because it follows the same pattern every week.” That explains why any temporary disruption can throw us off.

How can you avoid losing track of time?

The prominent place to start is to add structure to your life. If possible, try to stick to your previous routine. For example, if you woke-up at 7 am and then leaped into your morning routine, then keep that up. If you held team meetings on Tuesdays at 2 pm, then maintain that recurring event. Keep in mind that your time is still significant. Treat your time as essential.

At the same time, you may have to be flexible. Take having to learn how to work from home with children. You’re probably going to have to adjust your schedule. Next, you’ll want to block out your day so that you can still get things done while teaching your children.

It’s also vital that you block out non-work activities and link anchors to them. For example, if you take an afternoon walk, then you could start dinner.

It’s also suggested that you differentiate your days and try out new traditions. An easy way to do to change things up is to create theme days for work, like doing all of your marketing on Mondays and taking all of your meetings on Tuesday. You can also do the same with your downtime, like Taco Tuesdays or taking a virtual fitness class on Wednesdays.

Other recommendations to keep track of your days:

  • Making your workdays different from your days off.
  • Getting outside every day.
  • Adding a self-care routine to your calendar.
  • Using grounding exercises like the 5-4-3-2-1 technique.

The most natural solution of all? Look at your calendar every morning to help your brain reset or stay on-track. It also wouldn’t hurt to set reminders for important tasks and events so that you won’t forget about them.

And, finally, make use of temporal landmarks. For example, if last night was Taco Tuesday, then it’s Wednesday. And, remember — we will be back on track soon. We have to!

6 Things That Can Jeopardize Your Morning Routine

We all have those days when things just won’t go our way. More often than not, they start with a hectic morning.

The morning is an opportunity to set the tone for the rest of your day. That’s why a morning routine is so important: When you make good use of the first few hours, you generate momentum that helps you be productive throughout the afternoon and evening. 

Of course, you can’t plan for everything. Disruptions happen, but they don’t have to throw your entire morning out of whack.

The key is proactivity. If you know what disruptions to expect, you can minimize them. If they do happen, you can mitigate their impact on the rest of your day. These are the top culprits:

1. Your Alarm Doesn’t Go Off

It happens to the best of us: No matter how sure we were about setting our alarm clock, it doesn’t go off.

Maybe you forgot to activate it. Perhaps you set a “p.m.” time instead of an “a.m.” It could have come unplugged from the wall.

The solution is to wake up at the same time every morning. Within a week or two, your body will start naturally waking up at that time.

If you truly need an alarm, get one with a battery backup. Look for a “set it and forget it” model that automatically chimes every morning at the same time.  

2. You Check Your Phone First Thing

These days, you need a smartphone. But that doesn’t mean you should be scrolling through it first thing after you wake up. With all the things to do online and in apps, you may find yourself deeply distracted.

Checking your phone first thing may keep you in bed too long. It can also get in the way of more productive morning habits, such as meditating or exercising.

Don’t use your phone as an alarm clock. Better yet, keep it out of the bedroom altogether. If you struggle to stay accountable to yourself, ask your spouse to remind you. 

3. Your Wi-Fi is Down

Although you shouldn’t stare at your phone first thing each day, there are reasons you might need to get online. You may want to check your online calendar in order to internalize what’s ahead of you. Or you may want to answer emails before you head to the office. 

If your Wi-Fi goes down regularly, there are two ways to get the information you need. You could get a back-up access method, such as a hotspot. You could also do some legwork upfront to keep your morning routine offline. Start by:

  • Saving your calendar offline.
  • Keeping a physical copy of your schedule.
  • Reading a newspaper instead of internet news.
  • Downloading exercise classes, relaxing music, or other streamable media.

4. Your Housemates Interrupt You

If you live with other people, there’s always a chance that they could disrupt your morning routine. Maybe your roommate steals the bathroom when you want to take a shower. Or maybe your kids are demanding attention while you are trying to make breakfast. 

The best way to prevent others from distracting you is to talk with them about your morning routine. Ask about theirs, too. If necessary, post everyone’s morning tasks and times in a public place, like on the fridge.  

Just because you’ve laid out a perfect routine for yourself doesn’t mean it works for everyone else. Be civil, set expectations, and remember that mistakes happen.

5. You’re Stuck on Yesterday.

Wouldn’t it be nice if you could start every day with a fresh slate? That’s what mornings are meant for.

With that said, you might struggle to get something from the past out of your mind. Maybe some tragic news event is bothering you. Perhaps you received bad news about a loved one. A fight with a partner can bother you for days.

If you can resolve issues before going to bed, do so. If not, allow yourself time in the morning for introspection. You can meditate or write in a journal during this time. It’s important to get in tune with your emotions so that they don’t overwhelm you. 

6. You’re Missing Your Must-Haves.

You’ve finished most of your morning routine and you are about to leave the house — but you can’t find your keys. You search everywhere, but you can’t seem to find them. Plus, you’re now running late. 

In this scenario, “your keys” could represent anything that you need to leave the house, like your wallet or bus pass. Not being able to find them when you’re leaving can create stress that lasts the rest of the day. 

The key (pun intended) is to keep these items in the same place at all times. Make it a ritual that every time you return home, you put your keys in the same place. 

Disruptions tend to happen at the worst possible times. But a little preparation can go a long way toward preserving your morning routine. And the more consistent you can keep it, the more ingrained it will become.

One of my cousins recently reached out to me for advice. He wants to start his own photography business. For the time being, it has to be a side hustle until the business takes off on its own. So far, so good, I told him. Here is what to do when you don’t have a team to delegate to.

The problem with my cousin is that he doesn’t have the time or resources right now for all for administrative tasks and content marketing. You know. The important parts of starting and growing a self-sustaining business that is often delegated to someone else.

I can totally emphasize with him. When I was just starting out, this was also a problem. Since I didn’t have a team yet, it was my responsibility to take care of these tedious tasks. Suffice to say, I was putting in a lot of hours and feeling extremely overwhelmed.

Thankfully, I learned some tricks to get out of this dilemma along my own entrepreneurial journey. I didn’t hesitate to share these options with my cousin. And, now, I want to pass them along to you, and anyone who is starting up a business on their own.

Everything is not a priority.

My first suggestion was to come to the realization that not everything is a top priority. I know. Easier said than done. But, my Calendar co-founder John Hall has previously explained how to achieve this in a Calendar blog post.

Before doing anything else, clear your head by taking a deep breath. Next, “think, compose a list or look at your calendar to see everything that’s on your plate.” Sure. These items may be important, but “they don’t all deserve equal treatment.”

“Instead of believing that everything needs to be done right now, determine which actions indeed are your priorities,” adds John. “Ideally, these should be the tasks that move you closer to achieving your goals. Other factors include urgency, due dates, ROI, or the consequences of not completing the task or project.”

Now, in most cases, you could create a priority matric, like the popular Eisenhower, to help you separate the urgent from important. However, that usually still involves delegating less important tasks to someone else. So, an alternative would be to “triage.”

“If you’re somewhat with the medical industry, then you’ve probably heard of the term triage,” John explains. “If you’re not, triage determining which patients need immediate treatment. For instance, if you went to the ER because of the flu, you would be seen after the older adult who is in cardiac arrest.”

When it comes to prioritizing your work, you can use triaging to identify what you need to do right now by placing them into the immediate category. For the “non-life threatening” tasks, schedule them for later or remove them from your list or calendar.

Done is better than perfect.

Sometimes good is enough. That doesn’t mean phoning it in or deliver subpar work. It just means that you shouldn’t obsess over being perfect.

For example, my cousin needs to get a website up to display his portfolio. My advice is to just get a domain and set-up a standard WordPress site with a theme geared towards photography. The site doesn’t have to be “perfect” just yet. It can tinker with his site until it’s more to his liking.

But, for the time being, he needs to get a site up and running. It’s all about taking that first step, enjoying the process, and setting the bar at “good enough.”

Negotiate your time.

Look, when it comes to your time, some things are non-negotiable. Usually, these are your priorities that you’ve already added to your calendar. For example, if my cousin already committed to a photography gig, then he can’t accept another job on the same date and time.

But, what if this request doesn’t have an exact timeframe? He may be able to find an alternative. Let’s say someone asked him to snap pictures for their LinkedIn profile on the same day that he’s already working a wedding. The wedding is non-negotiable. But, my cousin is free the following day so this other job then.

Or, depending on his niche, he may recommend certain jobs to someone else. My cousin may not have the time or equipment to do travel photography. So, he may recommend this job to a photographer who specializes in this area.

However, if he doesn’t have the availability or the job isn’t worth the time or money, then he needs to get comfortable saying “no.”

Use technology to your advantage.

Thanks to AI and machine learning, there is plenty of technology at your fingertips that can handle repetitive tasks. For example, my cousin could use scheduling software like Calendar to take care of all of their scheduling needs. He could simply share his calendar on his site or through an email. The client then sees when he’s available and books him. It’s a simple way to eliminate those back and forth communications.

A business owner can also use tools to automate his emails, social media accounts, marketing, and sales. If he can’t find a free option, most are affordable enough that they’re within his budget. And, while he’ll still need to put in the occasional human touch, it can help reduce the number of recurring tasks he’s responsible for.

Ask for help or outsource.

What about the things that he can’t automate? Well, he could ask for volunteers or outsource them.

When I launched my own business, I asked family members for help. My wife assisted with administrative tasks, while my sibling produced content for me. All startups can learn to barter with other people. My cousin found he could work a wedding for his accountant’s daughter in exchange for preparing his taxes.

If that’s not an option, you can find low-cost outsourcing alternatives. Like my cousin could go on Fiverr and find freelancers to optimize his website or promote his business on social media at a reasonable price. Know when you should outsource.

Know when to hire team members.

Depending on your business, this will vary. I doubt that my cousin would need a full-time PR agent. But, at some point, he may decide to hire a Virtual Assistant to handle things like scheduling and billing.

But, when should he does this? Well, Neil Patel writes in a previous Entrepreneur article that you shouldn’t hire because you’re desperate or don’t have “a defined set of responsibilities and expectations for your new hire.” Instead, it should be when they can either make or save money for your business. Most importantly, they should have specific skillsets that you don’t possess.

After you’ve begun hiring team members, delegating work to them should be straightforward. I mean if you hired a developer, then you know that those tasks go through them. However, you still need to learn how to delegate, like clearly explaining expectations and outcomes. And, you need to be willing to give up some control and grant them ownership.
