Make Your Home Office Better for Productivity

Since‌ ‌the‌ ‌COVID-19 pandemic began, remote working has thrived. ‌According to Nick Bloom of Stanford’s Working From Home Research Project, about 25% to 35% of workers work from home.

Despite attempts to return to normal operations, many companies will likely switch‌ ‌to‌ ‌a‌ ‌fully‌ ‌remote‌ ‌or‌ ‌hybrid style‌ ‌in‌ ‌the‌ ‌near‌ ‌future. ‌Therefore, it is likely that you will‌ ‌need‌ ‌to‌ ‌establish‌ ‌a‌ ‌more‌ ‌permanent WFH‌ ‌setup.

But, how exactly can you make your home office better for productivity? ‌Here are some tips for designing a home office for your comfort, productivity, and needs.

Think — “Small is Okay.”

No. I don’t mean scouring the fridge for a cheesy treat. ‌Instead, locate the quietest spot in‌ ‌your‌ ‌house. ‌Others find any noise bothersome, even if they need some background noise to work.

“I’m much more efficient in a quiet, distraction-free space,” says John Gerard from Our Home from Scratch. “Our home office is far enough away from the television and the play area that, with the doors closed, I can easily work in peace.”

Do not let your workspace coincide with anyone else’s to prevent this from happening. Ideally, you want to ‌select‌ ‌a‌ ‌room‌ ‌with‌ ‌a‌ ‌door. Maybe this could be a spare bedroom, basement, or attic. Some people convert closets into a home office if space is tight.

Remember to Maximize Natural Daylight.

Researchers have found‌ ‌that exposure to natural light throughout the day has positive effects on our mental and physical health. ‌So, it will be beneficial for you to open the blinds and let the light in.

“Ideally you should position your desk next to a window to enjoy the best natural light levels,” says interior designer Chantel Elshout. ‌Direct sunlight, however, can make it difficult to see your computer screen. “Adjustable window treatments, like plantation shutters, are a real savior and can be tilted as the sun moves to keep the sun out of your eyes while maintaining decent natural light levels overall.”

If you don’t have access to sunlight, a simple soft light desk lamp, such as the Mi LED Desk Lamp, will be just fine. ‌The soft glow of your work environment can contribute to a more relaxed, less stressful environment. And this will also avoid eye strain.

Turn up the tunes.

One of my favorite parts about working from home? I can play my music as loud as I want. That’s not to say I’ve tossed my headphones. It’s just that this won’t distract anyone with no one else around.

Of course, you might have to be mindful if you have a roommate or a partner. But, if not, just let the music play to your content. ‌It has been proven that listening to music during the day enhances productivity, creativity,‌ ‌and‌ ‌memory‌ ‌retention. Whatever you choose, just know that different playlists are better suited for various tasks.

For menial and tedious work, go with more upbeat music. But, when it’s time to focus on deep work, you’re better listening to the relaxing beats and soothing tones of instrumental ambient music. And, certainly know when to work in silence without your tunes.

Prioritize Comfort.

A comfortable home office makes you less likely ‌to ‌get restless‌. ‌For this reason, a strategically planned interior design is crucial.

Make sure your office chair is comfortable and ergonomically designed for your health and productivity. After all, it’s a simple way to prevent back pain over time. ‌Another option to improve posture and comfort is to use a standing desk with a rubber foot mat. I like my desk to be up sometimes and down sometimes — the variety is favorable for many things.

Although you may not think this applies to you, about 90% of adults have experienced back pain at some point in their lives, according to the American Academy of Family Physicians. ‌What’s more, ‌50%‌ ‌of‌ ‌Americans have back pain annually. Desk chairs that don’t properly support your back can negatively affect your health, mood, and work performance. I really like my gaming chair in my home office for work and wish I had one for my office desk.

Upgrade Your Gear.

When you’re working remotely, technology will be your best ally. ‌But, is your existing electronic device, such as a computer, printer, or connection, prone to technical problems? ‌If so,‌ this doesn’t just slow you down, it’s ‌also ‌a nuisance.

You are likely holding on to your old equipment because it still works and upgrading seems too expensive. Think back — you’ve wasted a ton of your time troubleshooting the old stuff and likely even have lost opportunity costs. At least get the newest pieces of equipment you can afford.

Remember, any lost time will negatively affect your productivity — and your mood as well. Can you imagine the stress you’ll have if your system crashes right before a deadline?

Depending on your work, the devices you use will vary. So, make sure that you have the best tools at your disposal. Moreover, make sure that your software is up-to-date. And, if you haven’t done so yet, ‌be confident that you have a reliable and fast wireless router. You may also need area boosters to get your signal throughout your workspace.

Design Flexible Layouts.

It doesn’t matter if you’re a manager or have tons of responsibility in your current company; in today’s flexible work environment, a well-planned home office layout can help you adapt to your job better.

If you are running back and forth from office to home office — it can be helpful to design both your spaces similarly.

For an efficient home office, consider installing a Murphy bed. These are kind of expensive — but really worth it. With the Murphy bed setup, when you are not working, you can use your home office as a guest room. ‌Choosing light and minimalist furniture that you can rearrange easily is also a good idea. For example, if you want to combat a sedentary lifestyle, you can move things around to exercise or leave a balance board or weights by your desk.

An ideal home office allows for ‌movement‌ ‌and‌ ‌flexibility. ‌If you don’t like some aspect of your home office in the future, you can change it without investing in a significant renovation.

Organize Your Desk for Efficiency.

“Regardless of your preferences or inclinations, your workstation should be set up for the best time management, efficiency, and, yes, comfort,” states Robert Half. “After all, you may spend more time at your office desk than you do in your own bed.”

There is no better time than now to tidy up your files, piles of papers, and general disarray if you are constantly overwhelmed by them. ‌Here are some suggestions on arranging your environment to maximize productivity for a more manageable process.

Methodize Your Stuff.

For instance, put away non-essential items from your desktop on Monday morning. ‌Put back only what is necessary to complete the task on your desk while working. ‌Put everything still on the floor into a drawer, closet, or recycling bin at the end of the week.

Determine Your Best Workflow.

Left-to-right thinking is prevalent among many people, and they like to place items in a certain way, left to right. ‌Don’t worry about following these norms. Watch yourself a day or two to see what feels the most comfortable for you. Where is the best place for your computer?

Where will you place your phone, so it’s always where you want it? Keep a clear workspace in the middle, and completed paperwork can be on the right — unless you are left-handed. Organizing your desk depends mainly on your work style and ‌how‌ ‌you operate but try a few new things to see if they will work for you.

Allow Yourself to Have Open Desk Space.

You will likely feel more comfortable with some open space on your desk. Have an area where you can spread things out a little. If you want a space to be clear of junk — don’t put anything in that space, no matter what. To keep my clear spot clear — I set a couple of books I’m reading in the “keep clear zone.” Two books are easy to move when needed — other things are not.

Clear off Desk Clutter Everyday Before You Go Home

Despite an orderly desktop, it’s hard to keep it clean, and you may have too many distractions. ‌For example, some workers use sticky notes on their computers or monitors. This habit drives me insane — I didn’t know that until someone told me to stop that habit. Instead, use your desktop notepad or put notes on a spreadsheet. Some have laughed at my spreadsheet — but I know what I get done or need to do every single day — and there are no sticky notes to cause a distraction.

For Better Mental Health, Have Something You Love on Your Desk.

Your workspace doesn’t have to ‌be‌ ‌sterile. ‌Author Marie Kondo advocates putting things in your environment that will bring‌ ‌you joy. ‌Organize your desk, bulletin board, or wall with something that has a meaning for you. Don’t overdo it — just something simple.

Going Digital Will Save You From Excess Clutter.

We are all trying to save the Earth — and that can start with caring about trees. Okay, so maybe I have too many Amazon boxes piled up — but most of your desk clutter will be from paper stuff. Get rid of it and sync it to your calendar, to-do list, and memo pad. There are notification options in your digital productivity tools. Set up meetings, appointments, tasks, and appointment alerts from your tools. Keep thinking: no paper.

Are Your Power Cords Tripping You Up?

Legroom is essential, so don’t ignore it. ‌Check under your desk and tame the wild cord-snakes. We have a 21-hole medusa between each set of four desks at work — and it works great. (Two desks on one side and two on the other facing each other with the long power cord in the center.) ‌Only two of us have filing cabinets on the side of our desks.

At home, I have all the power cords and surge protectors in the bottom drawer of my filing cabinet, with one cord plugging into the wall.

Clean Up More Than Clutter — Wipe off Your Desk and Station

Make a habit of regularly cleaning your desktop and equipment. In one company I worked in years ago, the office manager came around on Monday morning with hand sanitizer on a cloth. We all wiped everything down — our computers, keyboard, monitor, and phones (even our cellphones). ‌As a company, this practice cut down on illness by 70%. Of course, I kept asking if I sneezed on my own keyboard could I catch a cold from myself? That question was never answered — but we had less sickness overall.

Scenting the Air is Popular

I like diffusers, but I read somewhere about taking hot water with a few drops of essential oil and setting it on your desk. I also use non-smoking candle wax. “Traditional aromatherapy suggests that certain scents‌ ‌can‌ ‌make‌ ‌us‌ ‌feel‌ ‌calm (lavender)‌ ‌or‌ ‌energized‌ ‌(citrus).”

No matter what your opinion on fragrances, they can ‌be‌ ‌‌enjoyable. For instance, adding eucalyptus or rosemary to your workspace can make you happier. On the other hand, sometimes artificial smells such as baked goods give me a headache, so watch your new scent trials.

Go Green.

Never underestimate the power of nature. ‌Additionally, having plants in your home office (and your office-office) can make you happier.

The proximity to nature, including access to window views of natural scenery and office plants, improves workers’ morale. ‌In addition, nature of almost any kind will increase productivity and reduce‌ ‌stress.

Have Your Distraction Nearby — But Not in‌ ‌the‌ ‌Way.

Despite their bad reputations, distractions‌ ‌can‌ ‌be‌ ‌healthy and beneficial. ‌Distractions, for instance, can give us a break from ‌routines,‌ ‌our‌ ‌work,‌ ‌our‌ ‌stress‌ ‌, and‌ ‌our anxiety. In addition, research shows that people can distract themselves, alleviate pain, cope with problems, and stop bad habits — all with distraction.

Distractions also help me remember that I get to choose how I spend my time. ‌‌‌It’s also nice to know I have things to do when I need a break. ‌Instead of trying to escape reality, distractions are better to relieve stress. And, they’re better than unhealthy habits like being too lenient with flex time.

Choose a distraction that you can do for only a few minutes — may‌ ‌be‌ ‌a‌ ‌walk, a computer game, guitar‌ ‌, or the piano in‌ ‌the corner. ‌Pick whatever activity you enjoy in a relatively short period and distract yourself every once in a while for your health.

Whatever you do — learn to accept and love your home office hours.

5 Ways to Measure Remote Employee Productivity

There are countless statistics claiming that remote employee productivity is greater than its in-office alternative. For example, one study published not long into the pandemic claimed as much as a 47% increase in productivity thanks to remote work.

The question is, how do you know that your team has increased their productivity by half? How can you measure the effectiveness of a remote team — at least, how can you do so without becoming an invasive, micromanaging boss?

If you’re interested in monitoring your team’s productivity without compromising their independence and empowerment, here are some tips to help you out.

1. Set Clear Expectations

Expectations are key. If you don’t know what you’re expecting, you can’t judge if something is productive. In a workspace as asynchronous as remote work, personal interactions are few and far between. In that setting, expectations take the place of overseeing an in-office workforce.

Even when you’re operating in person, it’s essential that you communicate how you expect a project or activity to go. If you’re in the same physical space, though, you have the opportunity to update, add to, and even tweak expectations as you go along.

When your workers are laboring in isolation, they often complete a project — or at least put significant effort into it — before their productivity is ever considered. As global HR solution Remote points out, clear, detailed expectations set from the beginning of a project are necessary when managing remote teams. It ensures that everyone starts on the same page and is oriented toward the same end goal.

2. Utilize OKRs

There are many ways to break down expectations. Standard options include setting clear objectives and utilizing KPIs (key performance indicators) to make productivity measurable.

However, one of the best productivity measurement tools out there is OKRs. OKRs (which stand for “objectives and key results”) is a goal-setting methodology that approaches productivity from a holistic perspective. Rather than just saying, “There’s the finish line. Find a way to get there!” OKRs consider both the final objective that you’re working toward and the critical results required to accomplish it. In essence, this brings both goals and milestones together into one shiny package.

OKRs are powerful productivity motivators. They tie goals to day-to-day work and make it much easier to evaluate if work is getting done. For example, if you just set a goal, you may have to wait days or even weeks to see if an employee has accomplished that task on time. With OKRs, you can measure results as you go along.

3. Track Outcomes

It’s tempting to value time over output. That is always a bad idea when remote work is involved. Even if you ask your employees to report time spent working “on the honor system,” you still don’t know what that time looks like. Instead, focus on the deliverables that come from your employees’ overtime.

Every project has deliverables. Those might be a clear, defined item, such as a piece of content or a prototype of a new piece of hardware. However, it could also come from the work process itself. For instance, if you train someone for a position, the deliverable manifests through the learning experience.

Regardless of the project at hand, it’s important to identify the deliverables involved. This gives you an objective way to measure the success or failure of something. For example, you can consider the outcome of an employee’s work, compare it to the expectation (which should be clearly defined), and then decide if they are productive.

4. Use Employee Feedback

Internal feedback is an invaluable resource. Whether it’s recurring questionnaires, real-time opinions, or exit interviews, receiving input from your team can be a powerful refining tool.

It can also indirectly help with tracking productivity, as well. Have your employees fill out surveys asking for honest, anonymous feedback about their coworkers from time to time. This isn’t an opportunity for employees to snitch on one another. On the contrary, make sure to provide questions that don’t evoke charged responses.

For instance, don’t include a question like “Is employee X productive?” Instead, try phrasing the inquiry, “What are one strength and one weakness of employee X?”

This won’t give you a direct way to measure productivity. Nevertheless, it can yield valuable insight into each team member’s strengths and weaknesses, including how productive they are as seen by their coworkers.

5. Ask for Asynchronous Updates

Finally, You can also ask employees to track their own productivity when they’re on their own. Again, never underestimate the power of talking to your employees directly. As you define objectives and OKRs, ask your team to measure how they’re doing every few days or at the end of the week.

Of course, they aren’t machines that will objectively assess their own productivity, but posing the question can lead to insightful conversations. Even if this leads to biased data, it can have a much more powerful indirect impact on productivity.

Asking your staff to evaluate their own output regularly forces them to remain aware of themselves. This can help them stay motivated and focused on KPIs, OKRs, milestones, and whatever other measurable objectives you might use.

It can be an empowering activity when you engage in regular conversations with each employee to assess their effectiveness together. You’re turning the “gotcha” element of the productivity question into a positive, joint endeavor. You’re inviting them into the process of helping them be more productive. But, of course, having open and honest discussions about productivity is easier if you have measurable OKRs and clear expectations in place.

Remote work is here to stay. This makes it imperative to find ways to measure remote employee productivity without overstepping as a manager. Remember, micromanaging often tends to do more harm than good.

Instead, use the tips above to quietly assess your team’s productivity over time. That way, you can identify areas that need to be addressed without squelching existing productivity through an overly hands-on approach.

It may seem like a modern concept — but we’ve been striving for productivity for centuries. For example, one of the earliest mentions of productivity can be found in the classic economics text Wealth of Nations, written by Adam Smith in 1776.

What’s more, Benjamin Franklin came up with the first to-do-list in 1791. Even the day planner has been around since 1850. But, in the 21st Century, technology has almost made us obsessed with productivity.

Don’t believe me? Google “productivity” for the heck of it. You’ll get around 561,000,000 results!

On a daily basis, we’re bombarded with tools and hacks that promise to make us more productive. The problem is that eventually, we get burned out.

Then, the pandemic hit. For many of us, that meant we had “extra” time on our hands. With a scrapped daily commute, blank social calendar, and nothing else to do, we could be even more productive.

To make matters worse, this is what we were advised to by experts. Our social feeds were filled to the brim with people who suddenly became bakers, musicians, or contractors. There was no longer an excuse not to get things done.

What is toxic productivity?

“It’s tough enough to be productive in the best of times, let alone when we’re in a global crisis,” Chris Bailey, a productivity consultant and the author of “Hyperfocus: How to Manage Your Attention in a World of Distraction.” told The New York Times.

“The idea that we have so much time available during the day now is fantastic, but these days it’s the opposite of luxury,” he said. “We’re home because we have to be home, and we have much less attention because we’re living through so much.”

Next thing you know, you have new responsibilities and obligations. Eventually, you feel so overwhelmed that it’s like your underwater. And, you actually have less time to kick back and relax.

Even worse? You might have felt like a failure if you weren’t making the most of every minute in lockdown.

“It’s called toxic productivity,” explains expert nurse Emma Selby, clinical lead at health & fitness brand Results Wellness Lifestyle. “It can be defined as an obsession with radical self-improvement above all else.”

“Ultimately, it’s an unachievable goal,” adds Selby. Regardless “matter how productive you are, the result you are left with is a feeling of guilt for not having done ‘more.’”

Obviously, that’s counterproductive. More concerning is that this can impact your health and wellbeing during these uncertain times.

The signs of toxic productivity.

Not all productivity is toxic. Throughout the pandemic, a lot of us figured out how to get more done in less time. How so? By finally identifying our priorities and not dealing with distractions like in-person meetings.

A study from Prodoscore actually found that calendar time had dropped almost 23% vs. the year prior. However, from May to August 2020, productivity levels were up 5% when compared to 2019.

The downside? People were working through the weekend. The study reports that “year over year from May through August, employees are working 42% more on Saturdays and 24% more on Sundays in 2020 than in 2019.”

And, the latter is an example of toxic productivity. But, since this is different for everyone, here are some common red flags to determine if your productivity is toxic.

  • It’s impacted your mental health. You feel more anxious, depressed, or restless.
  • You’ve forgotten obligations and personal responsibilities. Examples include not remembering a family member’s birthday or skipping your workout, a healthy meal, or a good night’s sleep.
  • Your relationships have become stained. Are you not fully “present” when interacting with others? Have you been told that you’re working too much? Have you alienated those closest to you, like not responding to texts or making time for them?
  • You have unrealistic expectations. For instance, putting in a normal 8-day for work when you also have to homeschool your kids.
  • Feeling like you’re on the verge of burnout. Usually, this involves feeling less energetic and focused.
  • Attaching self-worth to hours worked. Just because you worked for 8-hours doesn’t mean you were productive. In fact, if you work more than 55 hours per week, productivity begins to drop sharply.

How to avoid toxic productivity.

Have you noticed any of the toxic productivity signs listed above? If you answered yes, don’t fret. There are simple ways to put a stop to toxic productivity before it interferes with your health, work performance, and relationships.

1. Don’t be productive, be smart.

Productivity is focusing on things that matter most to you. It’s those baby steps you’re taking to reach a goal. And, certainly not trying to keep with what you’re friends are posting on social media.

In short, don’t be productive just for the sake of being productive. Instead, be smarter and do more in less time by;

  • Scheduling your most important work about your internal clock.
  • Use Parkinson’s Law to your advantage, like cutting deadlines in half or gamifying tasks.
  • Follow the 80/20 rule so that you’re focusing on the vital few.
  • Manage your energy, not your time.
  • Stop chasing perfection and think done.
  • Re-use previous materials.
  • Keep tabs on your emotional exhaustion.
  • Keep your saw sharp by taking breaks and enhancing your skills.
  • Set your ideal schedule and then work backward.

2. Adjust your goals and expectations.

I’ve enjoyed working from home — and for some people, they’re actually mote productive without commuting, meetings, and talkative co-workers.

At the same time, there also days when you aren’t going to get as much done at home. You may have children to take care of or catch-up on household chores. There will be certain tasks that you literally can not do at home since you don’t have the right tools or equipment.

Additionally, there’s only so much you can actually do in one day. Don’t overcommit yourself. And, be honest about what you can realistically accomplish.

3. Redefine what breaks are.

Taking breaks doesn’t mean that slacking off. These are vital if you want to stay fresh and rejuvenated. Besides, there are perks to being lazy every now and then.

Besides taking frequent breaks throughout the day, disconnect on the weekend. And, if you feel like you need a personal day, go ahead and take it.

4. Embrace simplicity.

“Whether you call it minimalism, Kondo-ing, or simple living, there are certainly benefits to this type of lifestyle,” writes Calendar Co-Founder John Hall. “Mainly, saving time and money. But, it’s also good for your health and productivity.”

Rather than adding more to your life, scale things back. When you do, you’ll enjoy the following perks;

  • Having blank spots in your calendar allows time for self-reflection.
  • You’ll reduce decision fatigue.
  • You’ll finally have the chance to engage in self-care.
  • There will be fewer misplaced items.
  • It removes friction and conflicts from your life.
  • It strengthens relationships, focus, and effectiveness.
  • You’ll have a clean and organized home and workspace.

5. Establish clearly defined boundaries.

It’s not always possible. But, try to stick to a routine where you have a clear working and non-working hours. Even if your schedule is flexible or changing, leave work at work when you’re done.

Of course, this is a challenge. However, it’s not impossible. You could designate tech-free zones in your home, put your phone on “do not disturb,” set time limits on email, or ask a family member to hold you accountable.

6. Focus on positive self-talk.

“Do you define your sense of self-worth by how productive you are?” asks Dr. Therese Mascardo, Founder of the L.A. Digital Nomads, and CEO and founder of Exploring Therapy. “If so, you may find yourself caught in a cycle of chasing accomplishments that give you a temporary sense of worth until that wears off and you need yet another accomplishment to make you feel valuable.”

“To heal your self-talk, start seeing that your value is not in what you produce or accomplish, but in who you are,” advises Dr. Mascardo.

“Ask yourself, ‘Would I have these same expectations for someone I care for deeply?’” No? “Then you shouldn’t have these expectations for yourself, either.”

In fact, get into the habit of talking to yourself like you would a friend. And, if you’re really struggling with self-talk, get support from a therapist. They can help “you heal toxic narratives that have kept you stuck in a cycle of addiction to productivity.”

7. Don’t compare yourselves to others.

Social media is always a two-edged weapon,” writes business analyst Man To Ip. “On one hand, social media like LinkedIn allow us to explore opportunities like never before. With the help of these tools, it is way easier nowadays to expand our network and get the latest information from companies.”

On the other hand? “These platforms promote a kind of competition among peers or even among strangers.”

“During this lockdown period, it is common to see that many people posting what online courses they have finished, what skills they have picked up, or generally ‘how they have used this period wisely,’” he adds. “Don’t get me wrong; I am not saying that we should not equip ourselves with various skills or we should not give advice to other people.”

“Overall, these feeds have no problem at all, but toxic productivity comes in when we over-compare ourselves with others because of this information. It is, of course, good to have done five online courses in a month, but by no means you are a ‘loser’ simply because you have just done three courses instead of five.”

“The idea that we have so much time available during the day now is fantastic, but these days it’s the opposite of luxury,” he said. “We’re home because we have to be home, and we have much less attention because we’re living through so much.”

Next thing you know, you have new responsibilities and obligations. Eventually, you feel so overwhelmed that it’s like your underwater. And, you actually have less time to kick back and relax.

Even worse? You might have felt like a failure if you weren’t making the most of every minute in lockdown.

“It’s called toxic productivity,” explains expert nurse Emma Selby, clinical lead at health & fitness brand Results Wellness Lifestyle. “It can be defined as an obsession with radical self-improvement above all else.”

“Ultimately, it’s an unachievable goal,” adds Selby. Regardless “matter how productive you are, the result you are left with is a feeling of guilt for not having done ‘more.’”

Obviously, that’s counterproductive. More concerning is that this can impact your health and wellbeing during these uncertain times.

The signs of toxic productivity.

Not all productivity is toxic. Throughout the pandemic, a lot of us figured out how to get more done in less time. How so? By finally identifying our priorities and not dealing with distractions like in-person meetings.

A study from Prodoscore actually found that calendar time had dropped almost 23% vs. the year prior. However, from May to August 2020, productivity levels were up 5% when compared to 2019.

The downside? People were working through the weekend. The study reports that “year over year from May through August, employees are working 42% more on Saturdays and 24% more on Sundays in 2020 than in 2019.”

And, the latter is an example of toxic productivity. But, since this is different for everyone, here are some common red flags to determine if your productivity is toxic.

  • It’s impacted your mental health. You feel more anxious, depressed, or restless.
  • You’ve forgotten obligations and personal responsibilities. Examples include not remembering a family member’s birthday or skipping your workout, a healthy meal, or a good night’s sleep.
  • Your relationships have become stained. Are you not fully “present” when interacting with others? Have you been told that you’re working too much? Have you alienated those closest to you, like not responding to texts or making time for them?
  • You have unrealistic expectations. For instance, putting in a normal 8-day for work when you also have to homeschool your kids.
  • Feeling like you’re on the verge of burnout. Usually, this involves feeling less energetic and focused.
  • Attaching self-worth to hours worked. Just because you worked for 8-hours doesn’t mean you were productive. In fact, if you work more than 55 hours per week, productivity begins to drop sharply.

How to avoid toxic productivity.

Have you noticed any of the toxic productivity signs listed above? If you answered yes, don’t fret. There are simple ways to put a stop to toxic productivity before it interferes with your health, work performance, and relationships.

1. Don’t be productive, be smart.

Productivity is focusing on things that matter most to you. It’s those baby steps you’re taking to reach a goal. And, certainly not trying to keep with what you’re friends are posting on social media.

In short, don’t be productive just for the sake of being productive. Instead, be smarter and do more in less time by;

  • Scheduling your most important work about your internal clock.
  • Use Parkinson’s Law to your advantage, like cutting deadlines in half or gamifying tasks.
  • Follow the 80/20 rule so that you’re focusing on the vital few.
  • Manage your energy, not your time.
  • Stop chasing perfection and think done.
  • Re-use previous materials.
  • Keep tabs on your emotional exhaustion.
  • Keep your saw sharp by taking breaks and enhancing your skills.
  • Set your ideal schedule and then work backward.

2. Adjust your goals and expectations.

I’ve enjoyed working from home — and for some people, they’re actually mote productive without commuting, meetings, and talkative co-workers.

At the same time, there also days when you aren’t going to get as much done at home. You may have children to take care of or catch-up on household chores. There will be certain tasks that you literally can not do at home since you don’t have the right tools or equipment.

Additionally, there’s only so much you can actually do in one day. Don’t overcommit yourself. And, be honest about what you can realistically accomplish.

3. Redefine what breaks are.

Taking breaks doesn’t mean that slacking off. These are vital if you want to stay fresh and rejuvenated. Besides, there are perks to being lazy every now and then.

Besides taking frequent breaks throughout the day, disconnect on the weekend. And, if you feel like you need a personal day, go ahead and take it.

4. Embrace simplicity.

“Whether you call it minimalism, Kondo-ing, or simple living, there are certainly benefits to this type of lifestyle,” writes Calendar Co-Founder John Hall. “Mainly, saving time and money. But, it’s also good for your health and productivity.”

Rather than adding more to your life, scale things back. When you do, you’ll enjoy the following perks;

  • Having blank spots in your calendar allows time for self-reflection.
  • You’ll reduce decision fatigue.
  • You’ll finally have the chance to engage in self-care.
  • There will be fewer misplaced items.
  • It removes friction and conflicts from your life.
  • It strengthens relationships, focus, and effectiveness.
  • You’ll have a clean and organized home and workspace.

5. Establish clearly defined boundaries.

It’s not always possible. But, try to stick to a routine where you have a clear working and non-working hours. Even if your schedule is flexible or changing, leave work at work when you’re done.

Of course, this is a challenge. However, it’s not impossible. You could designate tech-free zones in your home, put your phone on “do not disturb,” set time limits on email, or ask a family member to hold you accountable.

6. Focus on positive self-talk.

“Do you define your sense of self-worth by how productive you are?” asks Dr. Therese Mascardo, Founder of the L.A. Digital Nomads, and CEO and founder of Exploring Therapy. “If so, you may find yourself caught in a cycle of chasing accomplishments that give you a temporary sense of worth until that wears off and you need yet another accomplishment to make you feel valuable.”

“To heal your self-talk, start seeing that your value is not in what you produce or accomplish, but in who you are,” advises Dr. Mascardo.

“Ask yourself, ‘Would I have these same expectations for someone I care for deeply?’” No? “Then you shouldn’t have these expectations for yourself, either.”

In fact, get into the habit of talking to yourself like you would a friend. And, if you’re really struggling with self-talk, get support from a therapist. They can help “you heal toxic narratives that have kept you stuck in a cycle of addiction to productivity.”

7. Don’t compare yourselves to others.

Social media is always a two-edged weapon,” writes business analyst Man To Ip. “On one hand, social media like LinkedIn allow us to explore opportunities like never before. With the help of these tools, it is way easier nowadays to expand our network and get the latest information from companies.”

On the other hand? “These platforms promote a kind of competition among peers or even among strangers.”

“During this lockdown period, it is common to see that many people posting what online courses they have finished, what skills they have picked up, or generally ‘how they have used this period wisely,’” he adds. “Don’t get me wrong; I am not saying that we should not equip ourselves with various skills or we should not give advice to other people.”

“Overall, these feeds have no problem at all, but toxic productivity comes in when we over-compare ourselves with others because of this information. It is, of course, good to have done five online courses in a month, but by no means you are a ‘loser’ simply because you have just done three courses instead of five.”

3 Things to Keep in Mind When Setting Holiday Hours

The holidays are a time for relaxation and reflection, but that doesn’t mean you can afford to ease up on the gas. Some people will take a turkey nap until the new year. Others will keep their noses to the grindstone — and reap the rewards while everyone else nurses a holiday hangover.

CBS News reports that 61 percent of employees admit feeling distracted by the holiday season as early as November first.

Founders can’t take that kind of break. Follow these tips to keep your company growing through the end of the year:

1. Push harder and reward more.

Your employees might be ready to slack off, but that doesn’t mean you should let them. If you push too hard, though, they will resent your leadership. Enjoy the best of both worlds by giving employees extra time off during the holidays and asking more of them in the weeks leading up to the break.

The Olson Group argues that employers should give employees longer periods of vacation time for a variety of reasons.

Not only do longer vacations make employees more productive, but they also make employees feel more motivated to contribute to the success of the company. For startups, where every employee needs to pull a lot of weight, buy-in is essential. Tell employees about the extra paid time off, then use that as motivation to keep them working harder, earlier, in the meantime.

When employees know they won’t have to worry about work for a whole week, they are less likely to spend the middle of December idly shopping for last-minute gifts.

2. Start every day hard.

The longer you put it off, the more difficult it becomes. Rather than stroll into the office at 8:30 and tackle a few easy tasks before lunch, commit to get to work a little earlier during the holiday season. Once you arrive, tackle the hardest thing on your plate first.

However, I have found that by tackling my hardest project first thing in the morning, I am better able to respond to the emergencies that pop up later in the day. I can also attend meetings and brainstorm without that nagging feeling that something else requires my attention.

Your business is important, but you still have friends and family who will expect gifts, cards and other reminders that you exist during the holidays.

Don’t be that person who waits until the last minute. Research from Needle found that shopping is now the biggest stressor during the holiday season, ahead of other factors like familial obligations and travel. Stress negatively impacts productivity in a big way, so take precautions to minimize the damage.

Take an afternoon off during one week in December to get all (or at least most) of your shopping out of the way. If you absolutely can’t miss work, put a weekend morning on your calendar and keep that appointment. Make time to take care of the personal stuff so you don’t end up trying to multitask and harm the quality of your work.

4. Leave when it’s time to leave.

Even if you work on Christmas to give your team the day off, take some time around the holidays for your own vacation. Make it last at least a week — not just for your benefit, but for your team’s.

Startup teams look to their founders for guidance. If the founder works all through the holiday without a break, team members will feel like they must either follow that example or be perceived as selfish.

If you do decide to meditate outside, ditch the headphones. The sound of insects, wind, and rushing water will enhance your practice.

You don’t have to be a professional to get into nature photography. All you need is a phone, a break during your day, and an artistic eye.

Don’t judge yourself. Just look for beauty, notice the small things, and try to take photos that show everyday life in new ways. 

  • Add an App

Too often, apps keep us indoors rather than pushing us outside. But our screens don’t have to trap us inside.

There are plenty of games you can download that make you go outside to get the full experience. Pokémon Go! is a popular example, but Zombies, Run! is gaining attention quickly. You can also use apps to go geocaching and find special containers that people have left in your area. The possibilities are endless, and some of them even double as a fitness tracker.

  • Work Outdoors

Taking breaks outdoors is a great way to restore your motivation, but why not work outdoors when you can? When the weather permits, simply working from a picnic table outside your office can keep your stress levels low and productivity high. 

Offices with natural lighting and plenty of plants are filled with plants are no substitute for actually working outside. Your body and senses will thank you for the fresh air.
