  • Reduce Stress: Scheduling creates more certainty which reduces stress–and that improves health. Win-win!
  • Facilitate Collaboration: Anytime you’re working with a team, a schedule keeps you all on the same page in the same place at the same time.

How to Schedule Your Day

It’s clear that scheduling your day is valuable. However, you can’t just throw stuff onto your Cute Kittens calendar and hope for a productive life.

Instead, you need a strategy so you can schedule for productivity and get the important work done efficiently. Here are some guiding principles to help you use a schedule for efficient days.

1)    Define Your Why

Let’s face it. Not everything we do in a day is fun. There are definitely tasks we simply don’t want to do. We can rely on grit and determination to power through, but that can sap energy. Instead, find internal motivation by defining your why.

Everyone’s why is different, but it’s the meaning and purpose behind everything we do. This concept was popularized by Simon Sinek in his book Start With Why. Sinek demonstrates that “why” can truly motivate individuals and businesses to reach their goals.

Your why should be bigger than “Because I have to,” or “Because someone told me to.” For an individual, there why might be to provide a safe and happy life for their children. For businesses, a why might look more like, “To help people succeed.”

Then, everything you do as a person or as a company should be in service to that why.

2)    Set Priorities

There are literally millions of ways you could spend each day. And you can’t do everything. Without priorities, you may find yourself spending time on tasks that don’t get you anywhere. And if you’re a team leader or manager, you want to set priorities for your team so they know what’s important, too.

So you have to figure out what you really need to get done in order to achieve your goals in service to your why.  First, write down everything you can think of. Then eliminate anything not related to your why. Then put your priorities in order of importance.

Having a direction to go in is just as important as going. A journey without a destination might be interesting, but without a destination in mind, who knows where you’ll end up.

3)    Estimate How Long A Task Will Take

Once you’ve figured out what you need to do, figure out how long it will take. And we’re not talking about how long it will take in fantasy land. You need to know how long it really takes you to do the thing.

One of the most common scheduling mistakes people make is not correctly estimating how long a task or project will take. “If you over-or-underestimate on how long this will actually take, you’re more likely to throw your entire schedule off. Even worse, you may miss a deadline or waste valuable time for you and key stakeholders like employees and customers.”

So, you need to get real with yourself and encourage your team to do the same. Take a week or two and track your time. How long does it take you to write 1,000 words or answer emails? Then, you can plan your schedule realistically, improving your chances of success.

4)    Work Smarter, Not Harder

Tim Ferriss, author of the 4-Hour Work Week is onto something. In the age of hustle, sometimes we feel like we have to go go go all the time. But what if we used our time in such a way that allowed us to work less? Then we’d be onto something, too.

Ferriss advocates a work smarter strategy using systems that make it “impossible to misbehave.” Then he doesn’t have to rely on the finite resource of willpower. So, establishing productive systems is a key step for Ferriss.

Other ways to work smarter involve identifying your most productive times of the day and then scheduling key tasks for that time period. For many of us, energy levels are highest in the morning. However, if you’re a true night owl, feel free to take advantage of that time to get things done.

You also need to be strategic. Yes, there are many ways to reach your goal. When choosing which path to take, factor in the risk-benefit of what you’re doing. You could cold call 100 people and get one yes. Or you could cold call the right ten people for the same benefit.

Types of Scheduling Techniques

There’s no one size fits all solution to creating the most productive schedule. But these scheduling techniques can help you along your path.

1)    Create a Productive Morning Routine

Start your day off right with a morning routine that reinforces productivity.

According to Hal Elrod, author of The Miracle Morning, “How you wake up each day and your morning routine (or lack thereof) dramatically affects your levels of success in every single area of your life. Focused, productive, successful mornings generate focused, productive, successful days.”

Elrond turned his life around by waking at 5 in the morning to spend time in silence, meditating, reading, and exercising. This set the tone for his days and he was able to pull himself out from under crushing debt and achieve new levels of success.

Your perfect morning might look different than Elrond’s, but it makes sense to set aside time early each day to determine the course of the rest of the day.

2)    Avoid Task Switching

Multi-tasking may seem efficient. After all, you’re getting more done at once, right? Wrong. In fact, although you’re doing more at once, you aren’t truly getting more done. You’re getting less done.

In fact, the true cost of multi-tasking can be up to 40% of your productivity. Each time you move between tasks, it takes your brain time to switch. Additionally, people are more prone to mistakes when task switching. And the more complex the task, the bigger the losses.

So, it makes sense to do only one thing at a time. This allows you to truly focus on what you are doing. Then you can do it more efficiently.

When you’re scheduling your day, avoid task switching if possible. Give yourself enough time to complete tasks at one go. Oh, and when you’re doing it? Don’t check your email.

3)    Batch Tasks & Block Scheduling

We’ve seen how task switching can impact productivity. However, we all have more than one thing to do in a day. So you can minimize the effect of the task switching by batching tasks and using block scheduling.

You can define “like tasks” in many ways. But the key is that the tasks should have a unifying feature that makes them more efficient when done together. Think about running errands. It makes more sense to go everywhere in a certain geographic location.

Similarly, you can batch tasks in terms of the mindset required to do them. For example, administrative tasks take one kind of mindset, but creative tasks like writing a blog post or debugging code require something entirely different. But grouping tasks by mindset, you can reduce the impact of totally switching gears.

Elon Musk famously uses task batching to make sure he gets everything done for his business and still spend time with his family. Task batching is the process of scheduling like tasks together so you can do them more efficiently.

4)    Expect the Unexpected

You can’t predict the future, but you can be pretty sure that something unexpected will happen at some point. You don’t know what it is or when it’s coming, but it’s out there. And a productive schedule will take that into account.

It’s probably happened to you. You identified your why and created your priorities and tasks. You scheduled the key tasks into your most productive time. You were a productivity rock star.

Then suddenly, an emergency comes up. You push everything to the side to address this urgent task. Your efficient schedule dies a painful death.

It doesn’t have to be an urgent project, either. It could be a sick kid keeping a team member home. It could be a weather emergency keeping everyone home. It could be unexpected server downtime slowing everyone’s pace. The little things can kill productivity just as effectively as the big things. And frankly, they are more common.

Just like it’s smart money management to have an emergency savings fund, you should also have an emergency time fund. Of course, you can’t stockpile time, but you can build a time cushion into your schedule. That way when the unexpected comes up, you’re ready.

5)    Leverage Technology

Technology is really good at scheduling. After all, on a basic level, a schedule is just a spreadsheet. But scheduling technology can go way beyond a simple grid.

Tools like Google calendar help you schedule recurring tasks, color code tasks, set reminders, and even share calendars among teams. All of these increase the efficiency of your schedule. Plus they keep you from forgetting that client meeting.

However, you can also do so much more. Use an iPhone app to access your calendar on the go. Eliminate the back and forth phone calls and emails to schedule meetings by allowing others to schedule meetings right in your calendar.

The possibilities are endless!

6)    Paper Planners, Bullet Journals, & To-Do Lists

As good as technology is at upping your scheduling game, don’t discount the value of paper in this digital world.  Paper planners, bullet journals, to-do lists and other analog tools can be just as useful.

In fact, planner industry leader Erin Condren’s Lifeplanner received the Good Housekeeping seal of approval as a productivity tool. And notebook systems like Ryder XXX Bullet Journal are also trending as productivity tools.

Of course, nothing beats a good, old-fashioned to-do list for keeping individuals on track. Writing things down saves you the trouble of remembering them. And the reward of crossing things off your list can be highly motivational.

7)    Eat the Frog

According to Mark Twain, “If it’s your job to eat a frog, it’s best to do it first thing in the morning. And if it’s your job to eat two frogs, it’s best to eat the biggest one first.”

Using this logic, one scheduling method is to put the most difficult, most important tasks first. And if you have more than one such task, you should do the harder one before the easier ones.

To use this method, you must be able to identify your key priority for the day. Ultimately, priority should be singular, since we can’t do two things at once. (See Task Switching!)

The more difficult tasks are often the most prone to procrastination. After all, most of us really don’t want to eat a frog. So doing them first thing in the morning keeps you from pushing them off all day. Plus once they’re done, you have the free time to do more fun tasks.

8)    Evaluate and Pivot

Scheduling for productivity can be a moving target. And you may have a perfect schedule but So take time to assess the results of your efforts. Are you and your team being truly productive people?

Here are some key questions to ask yourself and your team to evaluate the effectiveness of your schedule:

  • Are you meeting deadlines?
  • Were time estimates correct?
  • Did unforeseen issues interfere with timelines?
  • Did you feel under the pressure of the clock?
  • Did our meeting schedule work?

Once you’ve gathered your data, you can make informed decisions about where to go from here. Missed deadlines may indicate poor time budgeting, a problem that is easily solved in the next month, sprint, or quarter. Extraneous meetings can be eliminated. More padding can be added to accommodate unforeseen issues.

Companies continue to tout the importance of work-life balance for their talent. They acknowledge that workers need rest and relaxation. However, wanting to create this balance and actually achieving it are two very different things. That’s because the process for striking this ideal balance with available time has proved elusive. However, Microsoft Japan may have finally discovered the formula for greater productivity and a work-life balance that works for their team. Their answer is the four-day workweek. The result of everyone working four days with three days off equates to a 40 percent increase in overall productivity, according to the company’s research.

The idea that everyone in the company would take three days off may not seem like the pathway to higher productivity. After all, essentially shutting down operations for three days doesn’t sound like much can be achieved. Also, while the shorter workweek may help one, it may not produce the same everywhere. Nor may it result in productivity gains across all companies in the U.S.

What Works with a Shorter Week

Employees enjoy a shorter workweek for the same pay. That’s because today’s workforce feels overworked. Many talented individuals are working upwards of 70 to 80 hours a week. This intensive work schedule can be done in the short run. At some point, workers that pound out this many hours experience burnout. As time goes by, they may still be working 70 to 80 hours. Yet, what they produce at that time diminishes. In the meantime, the rest of their responsibilities outside of work get neglected, including their health, family, and friends.

Now, take those talented individuals and give them four days to get their work done and three days to rest and enjoy their lives. They will love the exciting work they do and are satisfied with their wages. These workers will have the time to reflect on the work they are doing. They will also be able to divide their time across other interesting pastimes. The shorter week works because employees now have the best of both worlds.

Therefore, a four-day workweek calibrates a work-life balance and increases productivity. Workers realize they have four days to get everything done. That leads them to look at how they are working and identify smarter processes that help complete tasks within a shorter timeframe.

Sounds Good, But Can it Be Done?

Despite the enthusiasm for a shorter work week and the proof that it simultaneously results in work-life balance and productivity, there are barriers to implementing it. Companies cannot make the switch to a four-day workweek overnight. That’s because it’s more than switching physical schedules. Mindsets must also change.

Beyond the hours, companies have become accustomed to technology that has made their workers always accessible no matter what the time of week or day. Even if workdays decrease, it won’t make a real difference to these employees until there is a mindset shift away from the idea that managers can still contact them on these three days off about work-related tasks or questions. If this continues, then workers will continue to feel they lack control over separating work from life. As a result, the talent will continue to feel stressed and eventually burned out.

And, it’s for this reason that some employees have noted in surveys that they don’t think a four-day workweek will help them. They cited the requirement to stay in the office or on-call longer during those four days. In doing so, these workers are then unable to take care of things outside of work on those four days and instead must cram them into the three days.

Control and Change Mechanisms

The conclusion is that the issue for employees relates to control. They want to have that sense that they have control over their work schedule so they can develop their own version of work-life balance.

With control as the central factor impacting whether a different work-day schedule can be implemented across U.S. companies, the right approach might involve discussions within individual companies to understand what works for employees.

The answer could result in a range of remote work schedules and options. Ideas for how to reduce meetings and other time-consuming tasks may also help develop a shorter, more productive week. Better preparation, brief meeting times, and set agendas can help reduce the amount of time wasted during meetings. Making these physical changes may then help managers start to change their mindset, moving away from the idea of “always-on” and back to the respect for boundaries between employees’ work and life personas.

Hybrid Four-Day Work Weeks

While the four-day workweek can be implemented in a wide range of industries and business segments, some like hospitals, factories, retail locations, and call centers may find that the four-day week can’t work. These types of companies focus on helping people who need help seven days a week.

In these situations, the four-day workweek would help productivity and work-life balance. However, those benefits wouldn’t count if these companies lose all their customers. Yet, a hybrid workweek could make workers available for seven days a week. At the same time, the workers could have ample time to relax, reflect, and recharge. In this case, rotating four-day workweek schedules across the team could help tap into the benefits of the shorter week. Plus, these companies can still assist customers on a 24/7/365 schedule.

Adding anything to your Calendar may sound like a strange way to increase productivity. However, productivity is not all about cranking out task after task without interruption. A productive life is typically based on a balanced lifestyle. Extra random tasks on your Calendar will not increase your productivity, but making time for specific tasks can improve your overall productivity. Here are ten things Gen Z should put on their Calendar for productivity.

Before making time for anything on your Calendar, you should carefully assess the possible benefits. If you aren’t entirely sure about trying something on your Calendar — then consider testing it out for a couple of weeks. Some things may not help you, but other listed items could have a life-changing impact. Everyone is different, so make time for the things that are most useful for you.

Our Gen Z — the true digital natives — have always had business savvy.

Gen Z was practically born with business-savvy. Now, take a look at a Gen Z Calendar. The Gen Zers seem to put everything in their Calendar, and this may be why they are finding a better work-life balance than the rest of us. I asked about a few of the items listed on the Calendar of our Gen Zers on the team. Below are the answers:

1. Sleep.

Although sleeping seems like the exact opposite of productivity, a healthy sleep pattern can significantly increase your productivity. Instead of getting the bare minimum amount of sleep that you need to function, consider making time to get enough sleep to feel well-rested.

Sleeping replenishes your energy reserves and allows you to function at a much higher level. We all know that sleep makes us feel good, but it can lead to an increase in productivity. If you get a healthy amount of sleep, your body will reward you with enough energy to be more productive.

Make time for a regular sleep schedule that maximizes your energy levels for higher productivity throughout the day.

2. Eat health foods — and health food.  

Eating healthy can seem like a chore to many of us. It can take time and energy to prepare a healthy meal that you will enjoy. It seems more natural to grab a quick bite from a fast food place or heat yet another unhealthy frozen meal. It takes time to make a healthy choice meal, and it takes time even to eat it. Gen Z puts in the blocks of time to do each action. Fueling your body with healthy food can make a difference in your productivity.

A few ways to make healthy eating less painful includes choosing healthy restaurants to order from — meal prep in advance and stocking your pantry with healthy options.

3. Downtime.

Making time to unwind is an effective way to increase your productivity. Without scheduled downtime, it can be tempting to keep plugging away at your ever-present to-do list. Not only is this an exhausting way to live, but it’s also unproductive.

When you choose to never really stop working, it will drain your productivity because you are never able just to start fresh. Downtime could be a short break in the afternoon, a weeklong vacation, or just enough time to enjoy the evening before bed.

4. Exercise.

Building a healthy body will also help to create a healthy mind. When you make a healthy mind and body, you’ll be more resilient to changes in your workload and prepared to tackle the inevitable challenges.

Exercise leads to the release of endorphins in your body, which are linked to a happier state of mind. Getting through your daily responsibilities while working towards your long-term goals is usually not easy. There will be good days, bad days, and “bad-bads.” Our Gen Z plan for the bad-bads better than the rest of us. A healthy boost from exercise can help make the bad-bads more bearable.

5. Learn something new.

It can seem impossible to dedicate time to anything new in the middle of your busy Calendar. However, learning new things can help you reach your overall goals. It also stimulates your brain and can help you accomplish more with the new information. I’ve put more learning into my Calendar than ever before.

Reading a book, taking a course, or flipping through an article may seem like a luxury you don’t have time for. It can be challenging but make time to learn something new. Even dedicating just a few minutes a day can really help to boost your long-term productivity.

6. Set clear goals.

Instead of vaguely setting goals and throwing tasks on your Calendar, make time to set clear and attainable goals for your future. Think about both your long-term and short-term goals. Decide on the steps that will help you achieve these goals. Finally, schedule the tasks necessary in a reasonable way.

If you don’t set clear goals, then some of your time will be wasted on tasks that do not help you achieve your goals. A clear vision will allow you to plan out your Calendar for maximum productivity.

7. Get outside.

Nature has a fantastic way of making us feel more at ease. When you are tied to your desk for days in a row, sometimes you need a little bit of inspiration to get yourself motivated. Without the right motivation, it can be hard to achieve a high productivity level.

Whether you can take a walk, plan a beach day, or escape to a National Park, a little bit of time outside can help to give perspective to your daily workload.

8. Track wasted time.

Many of us waste time in small amounts throughout the day. Scrolling through your phone or mindlessly checking emails can seriously affect our productivity levels. The worst part is that most of us don’t even realize that we are wasting this much time!

Install an app that tracks your phone usage and let it track you for a few days. It will take a few minutes to set up, but it will be worth it. You may be shocked at how much time you waste on your phone. Try to cut back this time and use it for something more productive.

9. Declutter.

Cleaning out your workspace can seem like a daunting task. You may have months (or years) of clutter piled around you. Clutter can quickly decrease your productivity in a variety of ways.

  • First, you may waste time sifting through the clutter to find important things.
  • Second, you may feel slightly claustrophobic in your workspace, which can kill your creativity.
  • Finally, thoughts that you really should tidy up invade your thoughts daily and distract you from your work.

Make the time to clean up your space. You might be surprised how much your productivity will increase. While you’re here — stick in a plant.

10. Meet with an accountability buddy.

Find someone that you can hold yourself accountable to and make the time to chat regularly. Your buddy should help to keep you on track as you work towards your goals.

Both should try to find jobs and careers that play to their strengths in order to feel the most fulfilled. However, for people with a Type A personality, that means they should look for careers that allow them to plan and organize.

1. Event planner

One choice of careers for those who love planning and organizing is as an event planner. This profession requires the event organizer to work hand in hand with their customers as well as retailers and other parties. In this way the event planner becomes the middle man that brings everything together. They set up event and pre-event times, locations, budgets, and meeting places. In addition they must contact vendors and other providers to collect bids as well as other information. In short they handle all of the fine details that are necessary for the event to happen.

Job Requirements

Potential event planners should pursue a degree in hospitality or another similar field. Of course, experience helps as well.

2. Virtual Assistant

A second option as a career for those who love planning and organizing is as a virtual assistant. These persons must possess not only planning and organizing skills but also the ability to work under a lot of stress. Other qualities include being self-motivated, reliable, and able to problem solve without difficulty. Much like an event planner, a virtual assistant must be able to juggle lots of things simultaneously.

Job Requirements

College degrees are not required to become a virtual assistant. You just need some basic computer skills and knowledge since you’ll be performing all of your work virtually instead of in person. Having a well-prepared resume always helps, too!

3. Real Estate Agent

Planning and organizing are definitely top on the list of qualifications as a real estate agent. They have to organize their own day as well as that of multiple clients and coordinate everything with homeowners and other agents as well. Let’s not forget all of the listing information and descriptions, customer contact details, and contracts as well as other important details that have to be organized. This is why a real estate agent is a great career path for those who are detail oriented.

Job Requirements

Although an academic degree isn’t required it is recommended for this type of career because communication skills are paramount to success. However, a real estate license is needed in order to have a career in this field.

4. Professional Organizer

When you love the detailed work of planning and organizing why not have a career that pays you well for it? A professional organizer does just that. But pay is not the only benefit. They also get the satisfaction of knowing they are truly helping others to make their lives better. Job Requirements

A degree is not mandatory if someone wishes to become a professional organizer. On the job experience is just as beneficial but it can take a few years for the experience to really pay off.

Can Getting Up From Your Desk Increase Your Productivity?

Your boss wants you to stay put and work long periods at your desk so you can get more done. But the health experts, such as Harvard Health Publishing, say you need to get up and move more. Certainly sitting for long periods can cause you to become lethargic and slower as you work throughout the day. On the other hand, the worker who constantly pops up out of the chair to get a drink, use the restroom, or ask a question isn’t going to get much done. But, what is the happy medium? Should you slave away to the point of chaining yourself to your desk? Or, should you take an occasional break and risk getting less done as well as having an unhappy supervisor? Working until you drop is not only bad for your health it isn’t going to do your employer any good either if it makes you too tired or sick to work. However, taking a break means you aren’t working. Can getting up from your desk increase your productivity?

Improves Focus

The first way getting up from your desk increases your productivity is by improving your focus. Simply the act of getting out of your chair for 5 minutes after 60 to 90 minutes of sitting can reduce restlessness. Moving around or taking a quick bathroom break can get your blood pumping a little, improve circulation, increase oxygen, and lift your mood. All of these benefits wake you up and help you fight fatigue. In addition, moving around every hour or so lets you refocus on the job at hand with renewed energy once you get back to it.

Although many people believe vacations prevent job burn out, getting up from your desk could prevent it as well. Of course, you can get up and take a quick walk or bathroom break to move more throughout your work day. 3 Ways Business Owners Can Use Their Time Wisely

As a human being, your time is the most valuable thing you have because it’s limited. As a business owner, not only is your time limited, but you can always use it to make more money. The problem is many business owners don’t know how to use their time wisely. How do I know this? Because I hear it all the time from business owners who are just starting out. There seems to be a fear that they don’t know what to do with their time – especially if they just quit their jobs and no longer have a manager telling them what to do. I’ve also had to learn some lessons the hard way. I often say I could be making more money by now if only I’d known how to make better use of my time when I was first starting out. Fortunately, for you, you can learn from my mistakes.

Focus on income-generating activities.

I would argue that focusing on income generating activities is one-way business owners can use their time wisely. While money by itself isn’t a motivating factor for many, what money allows us to do is.For example, having money helps me feel secure. I also have more fun because I’m not worried about paying bills. If I can remember this, then I can better focus and use my time for activities that lead to more money in the bank. Here are some example of activities that will directly lead to income:

  • Sales calls
  • Consultations
  • Pitching the media
  • Email marketing
  • Follow Ups
  • Product or service creation
  • List building

While some of these activities can be outsourced over time, chances are you will likely be focusing on these as you get started. Furthermore, you can use this list as a guide the next time you’re in doubt.

Focus on delegating the things that waste your time.

My team handles the majority of tasks that take away time from income generating activities. This includes managing my email, social media, customer service inquiries, graphic design, research, my calendar and loading content onto my website.

Set boundaries.

Another way business owners can use their time wisely is to set boundaries. Here’s an example from one of my clients to show you what I mean: I recently had a coaching client who would spend hours in a meeting with prospects who never ended up using her services. This means she lost an entire afternoon she could have used to talk to people who would pay her. I advised her to make some tweaks to her sales process, starting by setting some boundaries. She stopped taking meetings in person, started using an online scheduler and became strict about steering the call. The result is she has far fewer people who are wasting her time. She’s also begun to make some money whereas that was previously an issue because she didn’t have time to do more sales.

How Time Away from Work Increases Productivity

Many people feel you need to be a workaholic if you are going to be a success. That is not necessarily true. Of course, hard work often goes hand in hand with success and meeting our goals. But that doesn’t mean we need to kill ourselves doing it. Often when we work hard, to the point of keeling over, it’s as if we have something to prove either to ourselves or everyone else around us. It’s like we are saying, “Yes, I really can do it all.” But after a while it begins to take a toll on us. Working constantly with no break doesn’t make us more productive. In fact, time away from work actually increases productivity.

Do More in Less Time

Lack of sleep, fatigue, and stress all have effects on us. They cause a drain on our energy levels and make problem solving much more difficult. It’s hard to stay on task when we are running out of mental fuel. When rested, everything we do can be done in less time. That allows us to do more in a shorter time span.

Prevents Burn Out

Time away from work increases productivity by preventing burn out.  Vacations, morning and afternoon breaks, and lunch periods are all opportunities to shut our minds off. Allowing ourselves to disconnect gives our brains a chance to rest. Think of it like plugging in a cell phone to recharge either at night or during the day. It isn’t going to continue running if we don’t charge it up now and again.

Boosts Creativity

Many people get in a slump in the middle of the afternoon. That is the perfect time to take a fast paced, 5 to 10 minute walk. Cardio activity can actually boost our productivity for up to about two hours after exercise. This allows us to do what we do best but faster. Not only that, but it can spur our creativity and problem solving abilities as well. When we get up, even for a little while, it gets us moving and makes our heart start pumping. This increases our blood flow to every part of our bodies, including our brains. We see things differently. As we form new perspectives on issue or problems we become more innovative and creative at solving them.

Grade school aged children get recess time at school. As it turns out, there may be a good reason for that. There is a big benefit to giving ourselves some recess time in a similar way. Once we get up and away from everything even for a little while we can come back to work and direct our focus on learning new tasks or taking on different problems.

Get Sick Less

There are health benefits to taking time away from work. Many people need fewer sick days when they are less stressed. Less stress equals better health equals greater productivity. Obviously working hard is a key part of being successful. But time away from work increases productivity too. 4 Methods to Control Your Calendar Before It Controls You

Over the course of my career I’ve learned a lot about the importance of time management. How you as a business owner should control your calendar. Early on, I woke-up whenever I wanted and didn’t put an emphasis on my priorities. This pretty much resulted in aimlessly wandering through my days like a walker on “The Walking Dead.” But, that was just the beginning. I haphazardly accepted appointments, checked my emails every time I got a notification, and scheduled meetings at the last minute. And, to make matters worse, I was planning events when I should have been home with my family. I eventually realized that I was no longer focused or productive as I needed to be. Simply put, my calendar was taking control of my life — both in and out of the workplace. Thankfully, I was able to take back the reigns by utilizing the following four methods.

1. Take inventory and identify what’s not working.

First things first, get crystal clear on where your time is spent. If you’ve never done this before, simply keep a time journal. This is where you jot down everything you do and exactly how long each task takes you. This may sound tedious, but after about a week you’ll notice where you’re spending a bulk of your time. More importantly, you’ll identify the time wasters on your calendar. Once you do, you can make the proper adjustments to change things around. For example, if you noticed that you spend two or three hours a week scheduling meetings, then it’s time to look for a solution. In this case, you could use a tool like Calendar to eliminate this issue. You’ve now just freed up a couple of hours per week in your calendar to work on your priorities.

2. Create your routine.

Another perk of tracking your time is that it can help you create a daily routine. This is where you block time for specific activities. So, in a nutshell, your calendar consists of a bunch of blocks. My routine consists of a morning routine where I block out specific time for exercise, getting ready, writing, and responding to emails. I then block out from eight am to noon for undistracted work. My afternoons contain blocks for a nap, returning calls or emails, and hosting meetings. This method ensures that I stay focused on my priorities. It also ensures that I won’t let unplanned activities jump in and distract me from getting things done. I should add, that you should definitely block out time for rest. I block out time in the afternoon to take a nap and review my goals. It helps me recharge and refocus. If I didn’t block out this time, it would never happen.

3. Control Your Calendar by Stacking your Meetings.

If possible, try to schedule all your meetings on the same day or two each week. Ideally, you should schedule these meetings around 3pm, because research shows that this is the best times for meetings. The reason I use this method is fairly simply. It gives me a heads-up that I’m not going to complete as much work on these days. Instead, I’m going to be focused on conversations, exchanging ideas, and motivating my team. For me, this is a different type of work flow. I’m thinking differently when writing a blog post than when discussing an upcoming project with a colleague. By stacking my meetings, I can keep this more conversational flow going. At the same time, it’s guaranteeing that the meetings won’t interfere with my other work. One final note about meetings. Stop scheduling meetings back-to-back. This ensures that you won’t be running late for your next meeting. And, since meetings can run late, it may hold you up from leaving the office on-time and getting home. Give yourself a little buffer time so that you’re no longer running late. And, try not to schedule meetings late in the afternoon. Like don’t schedule right at 4:30pm unless you’re positive it’s just a quick 15-minute phone call.

4. Set boundaries, but also be flexible.

There’s a belief that once something has been scheduled into your calendar it’s set in stone. This couldn’t be further from the truth. Let’s say you have a meeting with your team on a Monday afternoon. However, when you were planning out your day first thing in the AM you notice that your website crashed. The worst part is that it’s not a minor fix, it’s actually going to eat-up your entire morning or longer. This means that your entire schedule has to shift. The work you had planned in the morning now has to move into the afternoon. Now you have to reschedule that team meeting for another date or time. In short, the unexpected happens and you need to be flexible. Just make sure  when this happens, you give notice to the other party. At the same time, you have to set boundaries. If you’ve blocked out two hours of unexpected work, then don’t schedule a meeting or phone call during that time. Again, a tool like Calendar can help you accomplish these goals because it allows you to select when your calendar is open and when it is not. You then share this availability with others so that they can pick an open slot when they’re free.

8 Steps to Planning Digital Content in Less Time

I’m a planner. I love writing things down and preparing myself for the work week in advance. Still, as a content producer myself, planning website content isn’t always an easy task.

When you do finally force yourself to sit down and start planning content for your website, blog, email list, etc. it can be a very time-consuming process. If the major brain dump method doesn’t work for you either, check out these 8 steps to planning digital content in less time.

Step 1: Use Current Copy as a Foundation

The best place to start is to look at your existing content for your business. Even if it sucks, you have someplace to start. Look at analytics to see which content resonated well with your audience and what didn’t.

For example, if you’ve been getting some great feedback on social media for a particular article, see if you can expand on the subject and plan to produce some follow-up content in the future. Keep a running list of topics whenever you gain inspiration or think of ideas that could be useful. It only takes a few minutes to do this each week and it’s the best way to jumpstart the content creation process.

Step 2: Make Sure You Understand Your Audience

Don’t waste time planning digital content before you get to know your target audience. Interact with them on social media, ask your email list questions, save helpful feedback, and ask your audience to a short market research survey every few months. 

This will help make the content planning and creation process much simpler because you’ll know who your audience is and what they want. Sometimes, I practically drive myself crazy trying to brainstorm content ideas. Ever since I started asking my audience what they wanted to see and listening to their recommendations, the digital content planning process has been pretty painless and quick.

If your audience is telling you multiple things, segment your website visitors into the primary, secondary, and tertiary audiences and determine how you’ll address their needs in future content types.

Step 3: Use a Calendar to Map Everything Out

If you’re planning digital content without a calendar, you’re doing it all wrong. Using a calendar tool can help you stay organized and begin to work ahead.

I like to set up days dedicated to brainstorming, outlining, creating/scheduling, polishing, and promoting. Yes, the content production process is pretty tedious, but having a solid plan laid out in writing can make all the difference.

Coming up with headlines and outlines at this stage is very important. It’s interesting to note that doing this in advance will literally cut a lot of time out of the content creation process and keep you focused so you can finish and release your content more efficiently.

By storing everything on a digital calendar, you can set reminders to hold yourself accountable for meeting specific deadlines and allowing yourself enough time to prepare what you need to complete the content.

Step 4: Work With Others

Ask others to help you research, edit and review when you’re planning digital content. This will save you a ton of time. For example, if you’re writing for search engines or trying to rank some of your web pages, you may want to have someone do SEO research. 

If you’re producing social media copy you may want to have a consult with a social media marketing expert to help you come up with a clear strategy so you don’t waste time making rookie mistakes.

This can be ongoing or just a one-time thing depending on your needs.

Step 5. Storytelling vs ‘Storyselling’

You don’t have to use your website to merely tell your own story. The stories that matter are those of the people who have used your products and services and found them beneficial.

Nobody is interested in knowing how wonderful a business you have. Give your audience results and evidence. The language you use should speak to them. Offer your products as the solution to their products.

One of the easiest ways I work storytelling into my digital content planning process is to simply be authentic. When I experience things or have conversations that I believe could be pivoted into inspiring content for my audience, I add the idea to my content calendar with a date and a brief outline. In less than 2 minutes, I have quality content planned that I can produce quickly.

Step 6. Write For Search Engines and Humans

SEO is important. However, crowding your content with too many keywords can only render it unreadable. Include the keywords as naturally as possible to avoid coming out as a robot. If anything, you don’t have to stick to your specific keywords. Use variations that will still give the same meaning.

As you’re planning your content for the web, it helps to determine a focus keyword ahead of time so you know what to base your content around. I like using the Google Adword Keyword Planner tool because it’s free and easy to use when you’re researching keywords and narrowing them down.

Step 7. Have an Action-Oriented Copy

All of your content should have a goal behind it. It’s likely that you want to help turn readers into leads and paying customers. To do this, you need to make sure you plan out content that has a clear call to action.

This will prompt your audience to do something. This is something I failed to do in the beginning stages when planning content for my business and I regretted it. It’s important to focus on providing value, but you also want to let people know what you want them to do. Is it to call you, email you, or make an online purchase? Show them the step they need to take next. Provide links or email address so that they can find it easy to reply and take action.

Step 8. Make It Visually Appealing

Content and visuals go hand-in-hand. When you’re planning digital content, be sure to include ideas for illustrations, charts, and images to support the text. Alternatively, use testimonials, bulleted lists or larger pull quotes. Divide sections with subheadings and use short paragraphs.

Again, planning all this out on a calendar will help you stay organized and on track. Remember, you don’t have to actually follow through will all of your ideas for content, images, SEO, etc. All you have to do is jot them down and organize them. 

The whole process can be done in under 20 minutes weekly or once a month as a huge content overhaul.

Productive Things to do During Downtime

15 Ways To Kick-Start 2021

Even the busiest workers have a noticeable amount of downtime. Yet, there are ways to still accomplish productive things in that downtime. Whether it’s been scheduled or it’s your body’s way of saying “slow down, take a break” downtime during your workday can often be used as an opportunity to tie up loose ends and be productive with low-effort tasks. Here are 5 productive things you can do that make you feel good whenever you find that there’s downtime in your schedule.

Exercise

Exercise has a ton of benefits which is probably why successful people make time to stay active. While I used to find it easy for me to get lost on YouTube to start binging Netflix during my downtime, I started breaking up my day to exercise during the early afternoon slump instead. Exercise will help you stay healthy and keep your mind sharp and motivated to crank out some more great projects during the remainder of the workday. It doesn’t require a huge time commitment either. Even if you only have a few minutes, you can go for a walk around the corner or do a few exercises before starting back up again.

It’s no secret that successful people read. The average millionaire is said to reads two or more books per month. Take the time to read blogs, news sites, fiction, and non-fiction during downtime so you can soak in more knowledge. If you’re often on the go, you may want to try audiobooks or listen to podcasts for fun or to learn about things like personal development, personal finance, or entrepreneurship.

Network

Networking can be valuable when done correctly. It shouldn’t always be your main focus but it’s important to squeeze in time to attend networking events and reach out to other either online or in person. Downtime is the perfect time to do some networking, maintain current relationships or follow up with people you’ve reached out to previously.

Open and Respond to Emails

Checking emails throughout the day can be tempting, but it’s an easy way to waste time and energy. I check and respond to my most important emails when in the morning and toward the end of the workday. I save the rest for small moments of downtime when I just need to do something easy and catch up. Managing emails can definitely become overwhelming if you don’t take time to stay caught up throughout the day. However, this doesn’t mean you have to waste time by checking in every 10 minutes. Focus on what’s important throughout the day, then save the rest for downtime.

Reorganize Your Calendar

Unexpected downtime like a meeting cancellation can be a great time to look at your calendar to make sure you’re on track and even plan for the next day. Planning your days in advance is one of the best ways to stay organized, motivated, and get a lot done. Successful people don’t waste time wondering what they’re going to do and when they’re going to do it. They already have a plan scheduled out and ready to execute. If you are experiencing way too much downtime throughout the day, you may want to reorganize your calendar and make sure you’re working efficiently and making the best use of your time.
