How to Squeeze More Time Out of Your Busy Schedule

I’ve experimented with various time management hacks over the years. The time management hack I’ve found to be most practical and useful is the 4Ds of time management. People will continue to get better and better at their jobs and productivity, yet time management will continue to be an issue in business. We’ll look at the 4D’s of time management first, but what are the 4D’s of negligent time management?

The 4D’s of Time Management

If you’re not familiar with this technique, the 4Ds of time management are: delete, delegate, defer, and do.

  • Delete is where you remove unnecessary time-wasters from your schedule, such as projects you never complete or unproductive meetings.
  • Delegate is taking tasks that are important but can be assigned to someone else.
  • Defer means, essential tasks that don’t need to be handled right now. Schedule these jobs when you have the availability.
  • Do is for the jobs (or anything) that take a couple of minutes to finish quickly. Don’t let these micro-tasks pile-up — get them done and over with, now. But, do also means diving directly into a task, building up your momentum and working on a bigger job to get it done.

Personally, using the 4Ds of time management has increased my productivity. How? Using the principle has encouraged me to focus on what truly matters. Also, because this has reduced the number of activities I need to worry about, I’m not cluttering my calendar. The 4D’s have helped prevent decision fatigue, which gives me more mental energy throughout the day.

What’s interesting, however, is that different industries have their variation of the 4D’s. Case in point, the medical industry has the 4Ds of medical negligence. These (negligent areas) are duty, dereliction, direct causation, and damages.

The 4D’s of Medical Negligence.

Recently, I had to visit urgent care. Nothing serious. While waiting to see the doctor, I saw a parallel between the 4Ds of time management and negligence.

I know. That probably shouldn’t have been my main concern. But what can I say? I’m always on the lookout for ways to improve time management. I think the 4D’s of negligence can be helpful in the Calendar, business, and productivity space.

Duty

No matter the exact field of expertise — doctors must adhere to strict rules, guidelines, and protocols. Drs listen to the patient and are respectful of their views.

The same system of confidentiality should be practiced in businesses, with customers and client’s financials and other information. A physician must also practice confidentiality. How confidential are we with our clients and customers data, requests, sales, and so forth? In short, Doctors must always provide the best care possible for all of their patients. Do we do the same in business?

Additionally, if the doctor believes that they can not help a patient — they must refer them to someone else. For example, if you have a rotator cuff tear, then your primary physician wouldn’t attempt to do surgery. Instead, your primary care doctor will refer you to physical therapy, and then to an orthopedic surgeon.

How duty relates to time management.

To begin with, whenever you accept a time request, you have a duty to follow through with the job. If you accept a meeting invite — then you need to block that timeframe in your calendar to prevent scheduling conflicts. You will follow through with the meetings set up on your schedule.

Ditching-out on your scheduled appointments at the last minute isn’t done unless there is an emergency. Your doctor doesn’t cancel appointments for no reason. It wouldn’t be very professional for your doctor to visit with two patients in the same room at the same time, either.

You have a responsibility to arrive on-time for your appointments and end the event as scheduled.

Not only is this respectful to the other attendees, but it also protects your time. Have you planned a meeting for thirty minutes, and the meeting ends up being an hour? The lax in protocols change your plans for the day — and creates conflict in everyone’s schedule.

Similarly to the medical duty of time management — if you don’t have the availability — then be honest about this upfront. If your Calendar is packed for the next month, don’t take on any new responsibilities. Don’t keep adding to your duties or accept any meeting invites until you have more time.

Finally, like doctors, if you aren’t an expert — then send your clients and customers to someone who is an expert. Obviously, for those in the medical field — it’s for legal purposes. But, for most of us, this is a simple way to avoid wasting time.

For instance, I just repaired a couple of things at my home. These weren’t difficult, but because I had never done them before — I spent hours on the project. It may have been expensive to hire a maintenance specialist — but I would have saved a ton of time. Next time I’ll call the repairman. I’ll stick with what I am an expert at — for the sake of my business.

Dereliction

Whenever a doctor doesn’t meet expectations or overstepped boundaries, this is called dereliction negligence. Examples would be not providing a clean and safe environment, misdiagnosis, missing a diagnosis, doing unnecessary procedures. Dereliction also includes surgical errors or prescribing the wrong medication.

How dereliction relates to time management.

Did you commit to a new work assignment? If so, that should be your priority. You should also allocate the right amount of time to performing the jobs you said you would accomplish. By Calendaring your tasks and meetings you’ll be sure to meet the deadlines. If you don’t have the time or skills for this exact task, just as a doctor would do, the job should be handed off to someone else whose expert.

Furthermore, dereliction is defined as “the state of being abandoned.”

And, as it just so happens, finishing what you started is one of the best ways to manipulate time to your advantage.

“It’s very common for tasks to get interrupted or delayed throughout your day.” Renzo Costarella wrote previously for Calendar. “Often, it’s best to finish the task at hand before starting new ones.” If you visited your doctor to get stitches, you would expect the doc to finish the job — not leave you half-stitched.

“However, other things may take priority,” adds Renzo. “For example, if a customer needs immediate assistance, it’s probably best to serve them right away.” But, “you need to make a point to return and finish your unfinished duties” after handling the current crisis.

“Again, this sounds simple enough, but it’s common for individuals to get distracted and leave loose ends.”

Direct Causation

If there was a dereliction of duty, then it must be proven that the healthcare provider was at fault. Usually, this is straightforward. I’ll give you an example of my personal life. My grandfather went in for simple cataract surgery. But, the doctor operated on the wrong eye. As a consequence, he began to experience vision problems in the wrong eye and he still had a cataract on the original eye.

In this case, the error was obvious. But, other times, errors and mistakes are not so black and white. Let’s say that a patient had a broken arm that didn’t heal properly. Maybe the patient will claim that the error was because the orthopedist did not apply the correct methods to the fractured arm correctly.

However, in the background, we may find out that the patient fell while the cast was on — which was the real causation of further injury. If the patient doesn’t admit the actual error or mistake — it could be challenging to prove that it wasn’t the surgeon’s fault. Dishonesty from the patient causes problems for us all.

How direct causation relates to time management.

Causation and time management fit together like a glove. If you don’t manage your time effectively by holding yourself accountable, there will be negative consequences. You may want to pin the blame on others — but, ultimately, the buck stops with you.

The surgeon who operated on my grandfather’s eye blamed the nurse who prepped my grandpop. But, the doctor should have double-checked the information himself before operating. When it comes to your responsibilities, you can say that you were late for a meeting because your other event ran late. However, if you had built-in a buffer between these meetings, this issue wouldn’t have occurred.

Another example of direct causation is not focusing on meaningful work because you’re getting distracted.

The solution? Identify these distractions and eliminate them. If your phone is the primary causation of your time management lag, then turn it off or put it on do not disturb mode. Behind on your priorities because you’re devoting too much time on unnecessary things? Drop those time-sucks from your to-do-list for the time being.

There are times when you aren’t at fault in business. One way around the vast majority of excuse ridden situations is to schedule white space in your calendar. Leave a block of time blank to catch up and in-between meeting. Leave buffer times in your schedules. If you don’t have anything scheduled use that time to address the unexpected events that occur.

Damages

Businesses have a lot of issues that appear as damages. But nothing could be worse than the current medical malpractice issues. Doctors respond to the question, “did the patient suffer physically, mentally, emotionally, or financially?”

The patient is entitled to a monetary amount that would help cover wage losses or medical bills. Damages would also take care of any pain or suffering or emotional distress that the patient has experienced.

How damages relate to business time management.

Poor time management affects every area of your life. Let’s say that you’re aren’t punctual or always rushing from Point A to B. Not only is this stressful, it also puts a strain on your relationships. If you miss a deadline, for instance, you might lose a client. If you are arriving late at home each night — you don’t have a chance to spend quality time with your family.

Other symptoms of poor time management would be procrastination, inability to set goals, and decreased quality of work. Poor time management causes damage in many areas of your business — and certainly in your life.

You’ll find poor time management causes you, your family and your clients and customers to suffer physically, mentally, emotionally, and financially. Unhealthy habits, like eating fast food, not exercising, and getting burned out can be attributed to poor time management.

In other words, poor time management will definitely lead to physical, mental, emotional, and financial distress — and there is no one to blame but ourselves. You aren’t going to recover any monetary amount for slacking on the job and causing yourself and your family pain and suffering. But you can recover monetary setbacks through better time management.

When you feel pain and suffering in business — look to time management for the cure.

Why Some Customers Are Hesitant to Book Appointments

As you fill up your bookings each day, you might be puzzled that some customers are reluctant to commit to appointments. Why, given that scheduling appointments benefits both sides, won’t they play along?

It’s a perplexing, frustrating problem. But understanding why these customers hesitate to book appointments will help you serve them better. By providing clarity and comfort, you’ll be able to address the eight reasons customers balk at booking appointments with you:

1. Their schedules are unpredictable.

Some customers shy away from set-in-stone appointments because they simply can’t commit to a day or time. The nature of either their job or their lifestyle makes every day unpredictable. They’re afraid to book an appointment on the off chance that something will come up, causing them to cancel (and potentially incur a cancellation fee).

A busy schedule can be just as problematic as an unpredictable one. Customers who aren’t sure they can find time for an appointment in their schedule won’t even bother. They might stop by if they happen to free up the time, but nothing is guaranteed. 

Consider leaving some cushion in your schedule for walk-ins so you can accommodate these free spirits. They will be grateful for your flexibility and feel more inclined to schedule appointments when they know they’re able. 

2. Your scheduling system is confusing.

Businesses that rely on an online scheduling system should make it as user-friendly as possible. Otherwise, potential customers might bail when the going gets tough. 

Streamlining your scheduling process as much as you can. How many steps does your scheduling process take from beginning to end? Just the sight of numerous hoops to jump through would cause anyone to hesitate.

Do bookers need to create a user account? Think up — and remember — yet another password? Look at your online appointment software through the eyes of a visitor and make note of anything that might cause them to turn away.

3. They’re wary of your cancellation policy.

What if you were to book an appointment only to have something urgent come up and need to cancel? This is a very real fear for many customers, especially when a service provider has a daunting cancellation policy. If they book an appointment, that cancellation fee will be hanging over their heads until the appointment is completed.

Take a moment to review your cancellation policy. Is it perhaps a little too harsh? Consider lowering your cancellation fee or being more flexible about advance notice (e.g., 12 hours versus 24 hours).

Excusing a client’s first violation — but only the first — will demonstrate that you’re accommodating but not a pushover. While a cancellation policy is important for keeping customers accountable, being too strict can stop people from committing at all. 

4. You haven’t convinced them to commit to your business.

If you haven’t completely sold your services to the customer, they might not feel inclined to book an appointment. They may think there are better or more affordable options elsewhere. Consequently, they won’t want to lock into an appointment with you before searching for superior options.

What about your business is causing this hesitation? Perhaps your prices are too steep, or the quality of your service is no better than your competitors’. Look for ways to stand out, and customers will be more likely to commit to appointments with you.

5. They don’t see the need.

If there’s no need to book an appointment, why bother? Customers who don’t see a clear requirement to reserve a time slot will likely skip it altogether. In their mind, an appointment is more of an inconvenience than a necessity.

Explain to your customers why booking an appointment is important. Your time is limited, so they need to make an appointment to guarantee their place in line. You can get this point across on well-worded signs, your business card, and your social media feeds. The clearer you make this argument, the more likely customers will get it and act accordingly.

Besides not seeing a need, customers might also lack incentives for booking an appointment — so it’s up to you to provide them. Point out that making an appointment will result in shorter wait times. You might even offer discounted rates for scheduling appointments or incentives for booking several of them in advance. This is a great way to secure a steady flow of customers. 

6. They don’t want to — or can’t — prepay.

If you require a deposit or full payment in order to book an appointment, some customers will start looking for other businesses that offer walk-ins or make fewer demands. The inability to prepay is a more common problem than you might think.

Some customers simply prefer to pay in cash, making it impossible for them to prepay online. Others may need their next paycheck to arrive before they can fit an appointment with you into their budget. The need to prepay will cause them to hesitate before pulling the trigger.

7. They decided to drop in at the last minute.

An unexpected walk-in might be just as surprising to the customer as it is to you. Some people aren’t planning to stop by your business until the last minute. They had extra time in their lunch hour and decided to drop in, or a situation arose that prompted them to stop by that day.

Understanding that some customers show up without planning to beforehand should help you be more patient with them. After all, if you make a good impression when they walk in, you could convert them to repeat customers who set their appointments in advance. 

8. They have safety concerns.

In normal times, safety concerns wouldn’t be a reason to forgo appointments. But these aren’t normal times. The risk of exposure to COVID-19 is a real one, and businesses should take this concern seriously. 

Start by providing masks and rearranging your waiting room to enable social distancing. Then inform customers of these changes via your website, through social media, and at the front door.

Making customers aware of the safety precautions you’ve implemented will put them at ease and encourage them to book appointments in your facility.

When you understand why some customers are hesitant to make appointments, you can work to overcome those objections and serve your customers better. By displaying empathy and addressing their concerns, you can encourage them to show up on schedule and develop a lasting relationship with your business.

7 Easy Ways to Avoid Burnout at Home

For years those who were fortunate enough to work remotely praised its benefits from the rooftops. In fact, numerous research backed-up these claims. For example, Owl Labs found in its 2019 State of Remote Work Reportthe following:

  • 83% of survey respondents agree that the ability to work remotely would make them happier.
  • 82% of respondents agree with the statement that working remotely would make them feel more trusted at work.
  • 81% of respondents agree that working remotely would make them better able to manage work-life conflict.
  • 81% of survey respondents agreed that working remotely would make them more likely to recommend their company to a friend.
  • 80% of all survey respondents agreed that the ability to work remotely would make them less stressed.
  • 80% of respondents agree that working remotely would make them feel like their employer cares.
  • 74% of survey respondents agree that working remotely would make them less likely to leave their employer.

In short, remorse workers are happier, productive, and loyal. Reasons include autonomy, flexibility, and fewer workplace distractions. In turn, this is beneficial for their careers and well-being, as well as the bottom line.

Then the global pandemic yet. Suddenly people who had always dreamed of working from home who thrust into this new way of life. Some thrived, others didn’t.

You can’t fault them. A lot of folks just aren’t cut out for the WFH-life. Furthermore, there’s a dark side that’s making people downright miserable.

Why working from home is making people miserable?

“Working from home entails some degree of isolation,” explains business consultant Larry Alton. “If you live by yourself, you may go an entire day without seeing or talking to anybody.” But, even if this isn’t so, “you might customarily shut yourself away in a separate office.”

Why’s this such a big deal? Various research shows that social contact is paramount when it comes to our mental and physical health. Interacting with others can also calm and soothe us.

“Across multiple studies, controlling for factors like income, geographic regions, and even genetics, the single most important ingredient for long-term happiness appears to be how and how often we connect with other people,” adds Alton. “Loneliness, especially on a chronic basis, can subject you to depression, frustration, and career burnout.”

As if that weren’t bad enough, it’s tempting to fall into unhealthy habits. For instance, during your routine, you might tell yourself that you’re only going to catch-up with the local news. Next thing you know, you’re playing along with The Price Is Right.

It may also be easier to sleep-in, make frequent trips to the fridge, and get less physical activity. If you have children, it’s a struggle trying to homeschool them while trying to get your work done. It’s more challenging to leave work at work — I mean, you are essentially living at work.

When you’re working by yourself, there isn’t an opportunity to take advantage of Equity Theory. According to Alton, “This is a sociological phenomenon in which individuals gauge their own performance and sense of belonging against the habits and actions of others. When there are no coworkers around to help you measure your own performance, you might develop a constant, nagging feeling that something is not right.”

The good news? If working remotely has gotten you down, there are ways to turn that frown upside down. And you can start by trying out the following.

Overcome detachment.

In a pre-COVID world, this really wasn’t much of a problem. You could set-up a shop at your favorite cafe. You could join a shared workspace or actually go into work a couple of days per week.

Outside of work, you could socialize with friends or family. I’ve even taken breaks from work to chat with my neighbor. And you could attend local networking events.

While you might be able to do some of the above, it’s definitely more difficult living in a pandemic. If you’re uncomfortable being around others or can’t safely practice social distancing, you can still connect with others.

Obviously, the most popular way is via video calls using a platform like Zoom. Whether it’s meeting with your team or catching up with a friend, this has been a lifesaver. Just be cautious not to overdo it so that you miss a case of Zoom-fatigue.

Also, there’s nothing wrong with just picking up the phone and making a call. If you feel isolated, give your best friend or mentor a ring.

Set rituals, routines, and boundaries.

When you went to the office daily, you had a routine. That structure made it easier to schedule your time. More importantly, it helped you establish boundaries between work and home.

Does this mean you have to follow the exact same routine? Not exactly. The beauty of working from home is that you can set your schedule to fit your productivity peaks and personal obligations.

For example, if you’re a morning bird, you could wake-up before everyone else in your house. While it’s quiet and you have the energy, you can work on your most important task for the day. During your breaks, you could spend time with your family and get some exercise in.

Regardless of how you schedule your day, be consistent. And find ways to transition between your personal and professional lives. It could be something as simple as turning off your computer to changing your clothes.

Create a home “office” space.

I know it’s tempting to work from the comfort of your bed or couch. But, remember, you need separation between where you get things done and chillax. As such, you need a dedicated space that you associate with work.

Ideally, it should be somewhere quiet. A spare bedroom, basement, garage, or even closet would suffice. Additionally, it should also have the right tools and equipment — think desk, high-speed internet, and whatever else you need to work.

But, those are just the basics. Brighten your workspace with natural light, plants, and colors that match your work. For instance, if your job requires a ton of focus, surround yourself with the color blue.

And, go ahead and personalize your workspace by throwing in personal items like photos or memento from a past trip. Most importantly, keep this area clean and organized.

Use your breaks to get a dose of joy.

It’s no secret that frequent breaks throughout the day can boost productivity. The key is to use these breaks to rest and recharge and do something fun.

For me, that’s taking my dog for a walk after lunch — san phone. It’s been found multiple times that spending time outside can reduce anxiety, stress, and depression. But, you could try anything that makes you happy, such as phoning a friend, drawing, or dancing.

Take advantage of working from home.

While there are disadvantages of remote work, look on the bright side. You don’t have to put up with a daily commute. As a result, you’re saving more time and money — which can be spent on something more fulfilling.

Also, you might be able to have your dog be by your side all day. Or, you get to spend more quality time with your kids. And, unless you have a video meeting, every day is casual Friday.

Accept your negative feelings.

Finally, embrace any negative feelings that you’re experiencing. It’s a proven way to help you work them. Besides, constantly seeking happiness can backfire.

“Any time you’re setting a standard for your mood when you don’t meet that standard, it’s painful,” said Brett Ford, a psychologist who studies emotions at the University of Toronto. “You’re basically adding pain on top of a lack of happiness.”

“We can’t be happy all the time, but we can be OK with whatever emotions we are having,” says Dr. Judson Brewer, a psychiatrist who studies behavioral change. “And in that sense, there’s a level of contentment that comes with that.”

“I’m content that I’m happy,” says Brewer. “I’m content that I’m not happy. Whatever emotion is here is here.”

9 Easy Website Changes to Enhance Your UX

There’s no need to create a whole app for this. Optimizing your website for mobile should only require a couple of tweaks. The layout will need to be slightly different for smaller screens, but the design and content can likely remain the same. Most content management systems will make sure your site is easy to navigate no matter the device.

3. Optimize Loading Speed

Run a test to check how long it takes for pages of your website to load. In particular, see how your online appointment system’s buffering time stacks up against your competitors’.

Websites with beautiful designs and images immediately catch attention. But to persuade potential clients to book an appointment, you will need — as any preschooler can tell you — to “use your words.”

Headings and bodies of text should be easy to read, both in design and content. Text that is difficult or tedious to wade through will render your website almost useless.

You know the strengths of your business better than anyone, so express them in clear, engaging language. By laying out the benefits of an appointment with you in a concise and attention-grabbing way, you will guide customers to their first booking. 

5. Tighten Up Your URL

On a scale from 1 (booknow.com) to 10 (supercalifragilisticexpialidocious.com), how long is your website’s URL? While bookmarks and autofill settings certainly help out with long links, short and sweet is usually the way to go. Customers can discover your website much more easily and can commit your site to memory when the URL is a manageable size.

There are many companies that buy and sell domain names you can use for your business. If your .com choice is already taken, consider a .biz as an alternative.

You can also use a service that shortens existing URLs when including them in online promotions. Whatever you can do to make your URL more manageable and memorable for customers is a must. 

6. Keep It Simple

Customers attempting to navigate your website shouldn’t be forced to jump through hoops. Information and resources should be easy to access and locate. A complicated website will lead to a poor user experience.

That’s particularly the case when your goal is encouraging clients to schedule appointments. If setting up an appointment takes too many steps to complete, customers will bail out. Keep things simple, and you’ll encourage customers to return in the future. 

7. Include Communication Tools

Want to click with your customers? Adding communication features to your website can really reel them in when they visit your site. The right tools can quickly guide visitors to exactly what they need. When you reduce the time it takes site visitors to find what they’re looking for, you increase user satisfaction. 

For example, a chatbot can be programmed to respond to customers’ basic questions. These rapid responses will set the user up for success as soon as they access your site. If you get a lot of website traffic, you can even consider hiring live customer service agents to handle questions and concerns.

8. Add a Form

Forms are a simple yet effective tool for generating leads. Not only can you gather new customers this way, you can get feedback that reveals improvements you can make to your business.

Site visitors can use a form on your homepage to do something simple, like request email updates with promotions or coupons. You, in turn, can attach a survey to the form asking customers about their user experience. Act on their feedback to improve your UX and your general business operations based on their responses.

9. Incorporate Analytics

All kinds of website-related activity will yield useful data. Clickthrough rates, landing page hits, and conversions are all metrics that have value to your business. They also tell a story about your website’s user experience.

Set up an analytics tool that can start tracking key data for you. As you gather data, it will guide you to changes you need to make to your site. Whether the data points to some of the steps above or something entirely different, data-driven decisions are some of the most effective.

The CDC considers face masks a vital tool in the fight against the coronavirus. What’s more, people who wear masks or face coverings are much more likely to follow social distancing guidelines than those who don’t. Mandated masks help prevent the spread of COVID-19 and remind everyone — pandemic fatigue notwithstanding — that precautions are still in place.

You will undoubtedly have customers who oppose a mask rule. Train your employees on the proper responses to prevent confrontations from escalating. Provide disposable masks at the door for customers who show up without a face covering, so they won’t have an excuse for not wearing one.

Rethink Your Waiting Room

Appointment-based businesses have designated spaces to accommodate walk-ins and allow customers to wait for their scheduled appointments. They strive to make these areas comfortable and welcoming to make the wait as painless as possible

With social distancing measures in place, you’ll have to mix things up a bit. Start with your seating arrangements. Keep chairs six feet apart, per CDC recommendations; if seating is conjoined, you’ll need to tape off every other seat.

For the time being, you should also reconsider some of the amenities you offer in your waiting room. Magazines and coffee bars can be passing points for illness, so consider substituting a TV and individually packaged refreshments.

Space Out Appointments

It’s better to space out fewer customer appointments over the course of day than not to have any customers at all. Forgoing some business for improved safety is a sacrifice you’ll have to make to continue to endure during COVID-19. 

With fewer appointments bunched together, you won’t have to worry about a crowd forming. That’s important because your socially distanced waiting area won’t be able to accommodate as many customers as it used to. When you keep everyone six feet apart, there’s less room to fill before safety precautions go out the window.

Even with spaced-out bookings, though, you should be able to keep yourself plenty busy. When customers feel safe and comfortable at your business, they won’t hesitate to book repeat appointments or recommend you to their safety-conscious friends.

Order Some Plexiglass

Plexiglass barriers are one of the most common solutions you’ll see businesses implementing during the pandemic. These barriers act as cough and sneeze guards, protecting employees and customers from accidentally infecting each other through airborne droplets.

Often used to separate cubicles or retail counters, plexiglass has seen a huge spike in usage over the last few months. Hair salons, for example, can use plexiglass sheets to separate customers seated next to each other at stylist stations. While customers still have to be masked up with their stylist, this added safety precaution can reduce virus spread in a droplet-heavy environment.

Apply Social Distancing Stickers

Floor stickers are another frequently seen adjustment that businesses are making. Each sticker is placed six feet apart to show customers where they should stand when waiting in lines. Stickers are inexpensive and easy to remove once COVID-19 has finally been laid to rest.

When dealing with customers who have appointments, you’ll need to check them all in as they arrive. Arrival times often overlap, especially when you also accept walk-ins. Having these stickers in place will help customers keep their distance in line to protect each other.

Ease Your No-Show Policy

Companies that rely on appointment bookings often have a no-show or late policy that customers must adhere to. This prevents customers who reserve appointment slots from disappearing, which wastes company time and prevents other customers from taking that slot. 

This makes perfect sense in normal times, but during COVID-19, a layer of lenience might be called for. If a customer has any indication that they might be sick, encourage them to stay home without no-show consequences. Offer to reschedule appointments with no charge even if your policy states otherwise.

Sick customers will appreciate your flexibility and reward you with their business when they’re well again. Healthy customers will appreciate your commitment to helping them stay that way by keeping sufferers out of your waiting room.

Automate as Much as Possible

The less touching involved in an appointment, the better. You can reduce physical interaction by automating as much as possible. Processes that normally would be done by hand can be eliminated to reduce virus spread through contact and help maintain social distancing.

One of the best examples is payment methods. Allowing customers to pay online takes away the need to pay in person at your business. Card and cash transactions can spread germs just like any other contact, even if all other social distancing measures are in place.

Here’s the thing though, these were deliberate choices to reach your goals. While not exactly fun, you’re probably not in pain over this.

1. Sleep

I am in no way advocating that you surpass sleep. Your mind and body need a good night’s rest to recover and recharge. In fact, a lack of sleep will destroy your productivity.

I am saying that sometimes you aren’t going to get 7 to 9 hours of sleep. If you’re a parent, then you’re well aware of this fact. But, you also know that it’s temporary, and you will eventually get back to a somewhat normal sleep routine.

The same is true when it comes to your work life. You will have tasks or projects that require you to put in 12 hour days. You will definitely stay awake at night thinking about your next move like your a Bobby Fisher level chess player.

So, while sleep should be a priority, you also have to be real. There will be some long nights when you’re only going to get a couple of hours.

2. Relationships

Bear with me here as this might seem like a broad topic. If you’re married or have children, then I’m a firm believer in a family comes first. Simultaneously, you might have to scrap a two-week vacation and replace it will a long weekend instead.

But, I’m really talking about those relationships outside of your inner circle. It would be great to catch-up with a friend from college. But, if you already have a packed calendar, that might have to go on the back burner until you have the availability.

Networking is obviously a proven way to grow your business. However, if that’s preventing you from reaching your goals, you might have to scale back. For instance, instead of weekly get-togethers, make it a monthly occurrence or focus on online networking.

And, above everything else, remove toxic individuals from your life. You know who I’m talking about. These are the folks who drag your down or aren’t respectful of your time.

3. Evil Urges

Get your mind out of the gutter! These are unhealthy habits that are holding you back. For instance, you can look at your phone whenever you receive a notification or stay way pat happy hour with your colleagues.

I’ll be honest. We’re all guilty of slipping up every now and then. And I don’t think that you should be too hard on yourself when you do. But, that’s different than making this a recurring issue.

If you want to be productive and successful, then you need to take care of your health. You need to decline those late night functions. You need to ditch mentally unhealthy habits like perfectionism, comparisons, catastrophizing the future, and blaming others.

4. Fear

Being afraid isn’t always a bad thing. Fear, after all, can keep us safe, force us to live in the present, and can even be exciting. However, when left unchecked, it can interfere with your happiness and paralyze you.

While it’s natural to be afraid, like when taking the leap to start your own business, you need to overcome it. There are several ways to go about this, like understanding and embracing your fear. Others have found visualization, role-playing, or questioning the fear to be helpful.

If you’re really struggling with this, I strongly suggest you reach out for help. You could speak with your support system or seek out a mentor. There’s also no shame in working with a mental health professional as well.

5. Stress

Stress just won’t prevent you from reaching your true potential. It can also literally kill you. No wonder it’s been dubbed the silent killer.

As with fear, stress is a natural part of life. But, you can’t let widely grow out of control. Instead, you need to maintain your stress by using techniques like properly:

  • Regular physical activity.
  • Spending time with close family or friends.
  • Offloading some of your workloads.
  • Breathing exercises.
  • Identifying triggers and eliminating them.
  • Using essential oils.
  • Slowing down and celebrating your accomplishments.

What does that have to do with sacrifice? Well, when you feel like you’re on the edge of burnout, you might need to take a personal day. Work will have to wait until you attend to your own well-being.

6. Hobbies

“Before 2008, I was playing golf three times a week,” writes entrepreneur and best-selling author Grant Cardone. “What was I thinking spending time on the golf course, or anything for that matter, when I could have been spending time getting my financial house in order. I had gotten distracted and entitled, had started to rest on my laurels, and put my family at risk.”

“I know life is not just about work and money but notice how many people are not having much of a life because of work and money,” adds Cardone. “I decided to master my work and my money, and if my golf game or social status suffer, so be it.” As he concludes, “It’s all right if you sacrifice fun today for freedom tomorrow.”

At the same time, hobbies can help you hustle. The reason? They are non-work activities that can improve your mood, help you find inspiration, and develop problem-solving skills. The key is striking a balance.

In other words, if golf is your passion, hitting the links three times a week when you’re trying to start a business won’t gel. But, you could cut back to just once a week. Or, you could get a putting mat and practice your short game during a short break.

7. Other People’s Opinions

Asking for advice and feedback can come in handy. Both can be used to help you gain fresh perspectives and ideas. At the same time, don’t harp too much on what others think.

As Richard P. Feynman said, “You have no responsibility to live up to what other people think you ought to accomplish. I have no responsibility to be like they expect me to be. It’s their mistake, not my failing.”

8. Time-Wasters

Last weekend it was cool and rainy. Needless to say, I wasn’t getting much time outside. What’s more, I had a hectic week and just needed a day to veg.

I don’t do this frequently. Sometimes you just need a day to lay on the couch and watch Netflix. But, I also admit that this is a huge time-waster.

On a day-to-day basis, you should avoid these time thieves. In addition to television, other time-wasters would be getting sucked into social media feeds, unnecessary meetings, and bulky to-do-lists. Determine what wastes your time and avoid them as much as possible.

9. Pride

By all means, be proud of your accomplishments. After all, you’ve earned it. At the same time, don’t pride consume you.

You still need to hold yourself accountable when you slip-up. In my experience, failure is one of the best ways to learn and grow. And, more importantly, sometimes, that means doing things that are beneath you.

For example, you might have to pick up a side gig until your business takes off. Even then, there might be tedious takes that you dread. I’m talking about responding to emails, bookkeeping, or literally cleaning-up your workspace. You might be responsible for these tasks until you have the resources to delegate or outsource them.

Until then, you need to squeeze them into your packed schedule. One simple way to do this would be through batching. In this case, you would set aside a small block of time each day to clean out your inbox or declutter your work area.

10. Worrying About Being Productive 24/7

Wait. Isn’t this counterproductive? Absolutely not.

As opposed to obsessing about productivity, you should focus on being intentional. In other words, instead of maximizing every minute and working 80-hours a week, focus on the vital few. When you do, you’re dedicating your time and energy to what’s truly important instead of the unnecessary.

Storytelling is part and parcel of making your company vision resonate. Humans are story-driven beings, so tell a vision story your employees can relate to. 

Think about the way that your company began: Did you start it in your garage, highlighting your company’s hardscrabble ways? Maybe an angel investor gave you a leg up, speaking to your vision of lifting others up.

Indeed, it’s a wonder that anyone would ever contemplate starting their own business. But, as Jimmy Dungan said in A League of Their Own, “It’s supposed to be hard. If it weren’t hard, everyone would do it. The hard is what makes it great.”

There are plenty of entrepreneurs who have decided to make this journey just a little bit easier — by teaming up with someone else. For example, Bill Gates had Paul Allen, and Steve Jobs had Steve Wozniak. The reason? Each partner brings something different to the table — whether that be different skill sets, lessening the workload, or having additional access to funding.

Maybe you want someone to gripe to, or someone to run your ideas past and have a second set of eyes on a project.

But, instead of approaching a stranger or acquaintance, why not just go ahead and start a business with a friend? After all, it worked for Gates and Allen and Jobs and Wozniak. You have a co-founder that you know and trust.

You can speak freely and comfortably.

When you have a trusting and honest friendship, you can pretty much say whatever’s on your mind freely and comfortably. Sure. There will be times when they’ll say something that you don’t want to hear — or that you don’t agree with — but you know what they’re saying is genuine and sincere.

As a result, you can keep each other in-check since you’re calling each other on your BS and ultimately do what’s best for the business.

Creates a positive work environment.

Having friends at work can be extremely beneficial. 70 percent of employees believe having office friends is the “most crucial” aspect of obtaining a fulfilling work life. What’s more, office friendships lead to higher engagement and productivity and a stronger connection to the company.

You have someone to bear your burdens.

Starting a business on your own, as already mentioned above, it no easy task. It can also be incredibly lonely.

But, when you have a friend by your side, you eliminate this loneliness. More important, you have someone to share your burdens with your — whether that be financial or completing tasks on-time. And, because they’re going through everything you are, you can vent to each, celebrate accomplishments, and even throw a couple of drinks back after a particularly challenging week.

You share the same vision.

Friends tend to think alike — that’s likely why you became friends in the first place. You and your friend being able to think alike is actually a great asset for your business.

You likely have the same goals, values, and vision for your business. Thinking alike can come in useful when you’re pitching an idea or your business to a client, prospective customer, or interested investors. If you know what your partner-in-crime is going to say next, then you can set them up seamlessly.

Decisions are easier to make.

As I just mentioned, friends tend to think alike and have a similar vision and belief system. That can make it easier to agree on business decisions — even if you have a different opinion personally.

Remember, spending too much time making a decision isn’t just time-consuming, it can also drain you mentally. You want to save that energy for more important decisions.

They accept your strengths and weaknesses.

Let’s say that public speaking isn’t your thing, but you’re one heck of a coder. But, your friend is charismatic and loves speaking. Instead of them asking you to pitch your business to an investor or at a conference, they would instead ask you to make a killer website to impress others. They also wouldn’t get upset or frustrated in areas that you’re weak — and vice versa.

Simply put, you accept each for you are. As a result, you can leverage each other’s strengths and improve on your weaknesses.

More friend time.

When you work with a friend, it sometimes doesn’t feel like work at all. You get to shoot the breeze, have fun, and create memories. As a result, going to work becomes more enjoyable and relieves stress.

Why You Should Not Work With a Friend

It can be hard to distinguish between work and play.

At the same time, chatting and hanging out all day isn’t always great for productivity. Instead of focusing on work, you’re busy talking about a movie you watched over the weekend. On the flip side, when you’re outside of the office, you may start talking shop instead of just enjoying each other’s company.

No matter how much you love your business, you both need to set boundaries and separate work from play.

Also, you may let workplace difference spill over into your personal lives. For example, if you and your friend are disagreeing on the direction of the business, and it becomes heated, that could make your social life a bit awkward.

Familiarity breeds contempt.

As friends, you probably know a lot about each other. But, knowing too much of others can erode respect.

For example, if you don’t agree with the lifestyle your friend is living, you may feel that they’re someone you shouldn’t work with. Even despite the fact they’ve shown up to work every day bringing their A-game.

Who’s the boss?

Even if you’ve agreed on established roles, it can still be tough to take orders from your friend — and they probably feel the same. As a result, there may be a power struggle.

You must compartmentalize relationship issues.

Friends fight. But, you can’t let those little personal squabbles interfere with the business. No matter how ticked you are at each other — you must remain professional and discuss any disagreements calmly and rationally.

In other words, you need to learn how to compartmentalize any relationship issues you have. Just because you’re at odds personally doesn’t mean that you’re currently at odds with your business partner.

Performance issues can be awkward to address.

When an employee isn’t delivering the results you expect, the conversation isn’t complicated. You have a conversation with them, determine what the problem is, and discuss the ways that they can be more productive.

That conversation isn’t so straightforward with your friend. You may be too empathetic, or they’ll take what you’re saying too personal. It may be an awkward conversation, but it’s necessary if you want your business to thrive.

Friendships don’t always translate to business compatibility.

Sure. You and your friend may share similar values and philosophies. But, you may have completely different approaches to completing various business tasks. That can lead to conflict and when trying to build your business model and company culture.

You know the same people.

Networking is critical when starting a business. But, how much networking can you do when you and your partner know the same people?

Networking may be a greater challenge, but knowing how to find and establish new connections may not be challenging.

A failed business can lead to a failed friendship.

If you fail in this business venture — it can be the absolute worst-case scenario.

Let’s say the business fails, and you blame each other for the failure. You didn’t just lose business; you also lost your friend.

How to Plan a Stellar Speaking Event for Your Business

When you hear the phrase “speaking event,” you might think of a huge conference. It sounds like something complicated that only a large organization or corporation could do. 

Think again: Any business can host a speaking event. Picture something more in line with a team-building workshop. The only difference is, engaging with the speaker is more central than the activities. 

A good speaker can make it look like a cinch, but the truth is, there’s a lot of moving parts. If you want your speaking event to be stellar, focus on these seven things:

1. Choosing the right occasion

Every event needs a “why?” Otherwise, it’s just a rambling monologue. 

You don’t want your audience to wonder “What’s the point?” Make sure to select an occasion that merits bringing in a speaker.

The good news is, there are plenty of reasons to plan a speaking event. Popular ones include:

  • Motivating employees before a busy period
  • Celebrating a job well done at the end of a busy period
  • Breaking the ice on a new team
  • Starting a discussion about company culture or team dynamics
  • Promoting productivity or wellness strategies to improve performance
  • Providing an opportunity for future leaders to learn

Relevance is key. If you’re trying to promote diversity and inclusion, for instance, why would you choose a speaker who built his or her name in sales?

Remember that your speaker doesn’t have to be a big name. Consider inviting someone with a personal connection to your company or subject, such as:

  • A close friend in your industry
  • A community member who advocates for your company
  • A client who had a exceptionally good — or exceptionally poor — experience
  • Someone from an organization that your company sponsors

You don’t have to break the bank to do a speaking engagement. Do what you can with what you have. 

3. Figuring out the number of speakers

Rather than inviting one person to speak at your company, you might consider multiple. One upside of choosing a low-cost speaker is that you might be able to afford more than one.

If so, think of your speaking event as a mini-conference. Allow team members to choose which talks they want to attend. Get everyone back in the same room to listen to your keynote speaker.

Another way to involve multiple speakers is to plan a panel discussion. Choose guests with different perspectives on your topic, and select someone to be your moderator. 

4. Finding the right location

There are pros and cons to any forum. You can hold it at your office, at an external venue, outdoors, or virtually. 

If you have the space, holding your speaking event at your office keeps things simple. With that said, it could make employees feel like it’s just another work meeting.

Doing a speaking event at a third-party location, whether indoors or out, can add excitement. However, this could cost more money depending on what space you find to do it. 

Finally, doing the event virtually might be a good option for a remote team. Particularly during COVID-19, it can also keep your team and speaker safe. But it might be harder to connect with a speaker when nonverbal cues are limited.

5. Setting up your equipment

Unless your speaking event’s audience will be small, you’ll need some sort of amplification system. And if the speaker has slides to share, he or she will need a screen and projector. 

When used well, technical equipment can enhance a speaking event. But as we all know, it can also be distracting.

Be sure to test any equipment your speaker will need beforehand. If you can afford it, hire a professional to manage the sound. Make sure any slides or clips the speaker wants to show display well.

6. Taking care of the speaker

Aside from compensating a speaker, it’s also important to be hospitable. Treat people how you’d want to be treated. 

If your speaker is coming in from out of town, assist them in finding accommodations. Allow them to mingle with your company as they please. Make sure they’ll have meals and water available throughout the day. 

When it comes to their speech itself, however, give them space to do their thing. Resist the urge to micromanage. And be sure to give them an introduction that highlights any accomplishments relevant to the topic they’ll be discussing.  

7. Planning the reception

After all, giving back allows you to build important character traits like wisdom, confidence, and courage. Getting Started With Team-Based Volunteering

For your team service to have an impact within your organization and others, you first need to take the following 8 steps. These have been developed by MovingWorlds, who have over 50 years of collective experience designing volunteer programs for individuals, companies, nonprofits.

Define your intentions.

Why do you want to volunteer? Is it altruistic or is there another reason? It’s alright to have another motive, like using volunteerism as a team-building activity. Discuss this with your team so that you can identify the purpose of giving back.

Audit your team’s strengths and weaknesses.

Evaluate the skills that you and your team possess. What industries are you familiar with? And, what knowledge or resources can you use to make the world better?

Document your learning and impact goals.

You don’t have to create a formal document. But, you should write down your goals so that you can refer to them as needed. To get you started, Mark Horoszowski, co-founder and CEO of MovingWorlds.org, suggests writing down goal-related statements like:

  • What can I learn about the organization and the industry I’m volunteering in?
  • What can I learn about communication and collaboration by working in a new setting?

Pick a cause and find a partner.

Solicit ideas from your team on how you want to give back. Use your team’s strengths, interests, and passions to narrow down a cause. Documenting your experience can “increase exposure of the organization and mission you worked on,” writes Horoszowski. It can also encourage you to reflect, learn, and inspire others to follow you and your organization’s lead.
